**The start date will follow the selection process.**
**Characteristic Duties**: Under the supervision of the Manager of Clerk’s Services/Deputy City Clerk.
- Ensure all statutory obligations and responsibilities of the Court Clerk are fulfilled in accordance with the Provincial Offenses Act.
- Prior to court opening ensure that all court dockets for all Provincial Offices court matters are received, verified, and processed in accordance with the Provincial Offences Act and office processes. Ensure completeness of court information. Maintain custody and control of all information and Certificates of Offence.
- Prepare the courtroom for proceedings; post and distribute dockets; ensure necessary parties are present; ensure documents required to administer oaths and affirmations are available; gather information and calendars from appropriate stakeholders.
- Ensure proper protocol and operation of the courtroom during proceedings; open and close court as per the rules of Ontario Court of Justice, recess, adjourn, call cases and page parties.
- Arraigns defendants; swear in witnesses, interpreters, and defendants; records pleas, case information, dispositions, and actions on charging documents; ensures that all documentation is complete.
- Prepares and issues court forms and legal documents, including but not limited to adjournments, seizure and payment slips, warrants, probation and other court orders and case dispositions documents.
- Record verbatim court proceedings; respond to requests during court sessions to read back verbatim evidence, make annotations; ensure efficient operation of all electronic monitoring and transcribing equipment.
- Ensure court decisions are endorsed accurately.
- Update court dispositions.
- Record court sitting time.
- Following the close of court, verify court docket is correct and accurately matches the court file, and ensure that court docket financial file is accurate for collection and enforcement purposes.
- Prepare official transcripts of court proceedings to be sent to certified transcriber; ensure court records are maintained in accordance with retention requirements; maintain files and records of transcripts, correspondence, and all other related matters.
- Ensure proper receipt and handling of exhibits, including labelling, recording (ICON) and transfer to exhibit custodian.
- Monitor scheduling needs for interpreters and special trials; monitor the progress of ongoing cases; ensure offence charges are translated into French for court use for trials to be held in French.
- Exchanges information with all those involved in the Court process, including: judiciary; prosecutors; lawyers and agents; enforcement and government agencies; citizens.
- Perform the duties of the ZOOM Clerk, including pre-court set-up, running the court proceeding on the ZOOM platform, troubleshooting any problems, and communicating with defendants and stakeholders.
- Work in conjunction with and provide backup support to POA Court Support Clerks.
- Develop and maintain a thorough working knowledge of CGS's Safety Manual and the applicable Provincial Legislation listed therein.
- Perform other related duties as required.
**Qualifications**:
- Successful completion of Community College Diploma in Law Clerk Program or equivalent.
- Over one (1) year and up to and including two and one half (2½) years of related court reporting/monitoring or legal experience.
- Knowledge of legislation and court processes and proceedings including protocol and etiquette with the ability to exercise discretion, judgement, and diplomacy.
- Exceptional attention to accuracy and detail.
- Exceptional organization skills with the ability to multi-task and work in a fast paced, high volume, public and formal environment.
- Ability to work independently and as part of a team.
- Demonstrate and proven ability related to computer software and administrative systems in a Windows environment (e.g., word processing, information input and retrieval on electronic database system, including Integrated Court Offences Network (ICON).
- Excellent use of English; verbally and in writing.
- French verbal and written skills an asset.
- Satisfactory health, attendance, and former employment history.
- Physical capability to operate a vehicle safely, possession of a valid driver's licence and an acceptable driving record, will be considered an asset.
