**Job Summary**
- We currently have an opening for a
**Administrative Business Partner **in our
**Toronto** office. We are looking for a warm and friendly team player who enjoys a challenge, thrives under pressure, and has a personality that brightens up a room.

Reporting to the Senior Executive Business Partner, the Administrative Business Partner is responsible for providing a range of administrative and support activities to facilitate the efficient operation of our Commercial/Marketing/Finance/Operation divisions.

**Responsibilities include the following**:

- Providing project administration assistance
- Assisting with general administrative tasks such as travel, meeting coordination, time & expense reports, client invoicing and records management
- Meeting coordination including arranging logistics, creating/maintaining agendas, material preparation and taking meeting minutes
- Arranging events internally and with customers as necessary, collaborating with the marketing team when needed
- Proactively manage a cadence of organizational meetings, including team meetings, 1:1's, performance reviews and more
- Maintain discretion and confidentiality in relationships, both externally and internally
- Providing client interaction to support information request and follow-ups
- Providing administrative support to the team as required
- Managing inventory and ordering office and kitchen supplies; including, but not limited to working with our coffee/tea vendor
- Managing office mail, accepting deliveries and courier requests
- Provide occasional phone line coverage
- Providing occasional coverage for other support staff during vacations, illness and other absenteeism as requested by the Senior Executive Business Partner

**Job Requirements**:

- Strong capabilities in Microsoft Outlook, Word, Excel, PowerPoint
- You can prioritize workload and the flexibility to manage multiple tasks
- You can work in a deadline-driven work setting and deal with confidential information
- Excellent oral and written communication skills
- You value teamwork, integrity, and quality in detailed work
- Ability to work independently with little supervision
- Prior administrative/clerical experience preferred
- Knowledge of D365, Egencia Travel and ADP is an asset

Schedule:

- Core hours 8:30am - 4:30pm
- Must be available to work in our Toronto office Monday to Friday
- Must be flexible to work outside of traditional business hours occasionally
