**About Us**:**The Toronto Zoo Wildlife Conservancy, fundraising partner to your Toronto Zoo, is undertaking a landmark $60 million campaign to advance education, animal care, and conservation science. This transformative initiative is reshaping the future of our organization—and we need a strong, reliable team to support it. As we enter this exciting phase, we’re seeking a detail-oriented and collaborative Administrative Business Partner to join our Development team for an 18-month maternity leave contract.

**Position Purpose**: The Temporary Administrative Business Partner is a key contributor who is responsible for performing all aspects of administrative and operational support to the Wildlife Conservancy team. This position ensures smooth day-to-day operations, coordinates meetings and logistics, handles confidential information with discretion, and ensures an efficient workflow.

**Core Role Responsibilities**:

- Provides administrative and operational support to the Wildlife Conservancy team including managing the Executive Director’s calendar / appointments, supporting team-wide meetings and shared calendars, etc.
- Completes broad administrative tasks including: submission of work orders / purchase orders / purchase requisitions; maintenance of team files, donor documentation, and CRM records (Donor Perfect); etc.
- Coordinates, collects, and prepares information for internal and external meetings with staff, partners, prospects and donors; performs minute taking; composes and prepares correspondence, briefings, and presentations.
- Assists in the organization and execution of high-profile tours, fundraising initiatives, exhibit openings, and other professional events.
- Ensure confidentiality and discretion in the handling of labour relations, personnel and other sensitive matters.
- Prepare minutes, materials, and logistics for Board of Directors and Campaign Cabinet meetings, track and follow up on action items with appropriate board and volunteer leadership.
- Coordinates and ensures that Board reports are submitted on time, following up on any missing information.
- Maintain accurate and up-to-date rosters, contact lists, and engagement records.
- Handle routine matters in the absence of any Management Team members and refer those requiring immediate attention to the appropriate member of management.
- Flexible support in coverage of other team members when out of office.
- Research prospects and create profiles.
- Prepare proposals and written content to augment meetings and financial asks
- Support department finances by coding and reconciling expenses; supporting budget tracking and financial reporting needs; process vendor invoices and reimbursements in a timely and accurate manner; and assist the annual audit process as necessary.
- Help identify and implement administrative improvements for greater efficiency.
- Serve as a friendly, professional point of contact for internal and external stakeholders; represent the Toronto Zoo Wildlife Conservancy with high degree of customer service, professionalism, and attention to detail.
- Manage special projects as needed.

**Technical Knowledge and Skills**:

- Minimum 3 to 5 years of experience in an administrative, executive assistant, fundraising, or project coordination role.
- Prior experience in a fundraising environment is preferred.
- Must have high degree of accuracy and ability to handle a complexity of tasks simultaneously.
- Must possess the ability to work independently and exercise excellent judgement in dealing with all matters, while maintaining discretion and confidentiality.
- Must be able and willing to work flexible hours to complete assignments including working the occasional evening/weekend/holiday.
- Must have well-developed interpersonal skills, along with strong communications skills, (written and verbal).
- Ability to adapt to shifting priorities in a fast-paced, mission-driven environment.
- Must be able to deal with staff and public in a courteous and efficient manner.
- Must have post secondary education (e.g. college diploma or certificate) in business administration or related field or have equivalent amount of training and related experience.
- Post-secondary education in fundraising is an asset.
- Valid Ontario Drivers License.
