Position Summary:
Acuren is currently recruiting for a Finance Administrator, to support our operations in the Central Region nd situated in our Cambridge office. If you are ready to embark on a dynamic career journey with opportunities for individual growth and learning, this is for you.
**Responsibilities**:
**Invoicing**
- Entry of all costs into client systems as required
- Track client PO spend for ongoing projects
- Provide costing/ PO spend to client as required
- Follow up on unsigned DTRs, PO increases
- Submit invoice packages to Operations/Lead Finance Administrator for review
- Post all invoice batches in MAS by end of day
- Where required, enter invoices into the third-party portals and monitor the status of invoices in the systems until they are approved or accepted for payment
- Report unbilled revenue for month end
**Quality Assurance**
- Authorizing the release of test reports by ensuring the accuracy of test results and investigating errors when detected.
- Uphold the confidentiality of test reports and other confidential information.
- Understand the relevance & importance of duties & how they contribute to the achievement of Acuren/CMTL’s quality management system.
- Verify that Technical Coordinators have correctly issued laboratory numbers to the test samples and paperwork and that traceability has been maintained at all times.
- Verify that customer paperwork and Acuren/CMTL generated instruction sheets have all the required information for sample preparation and testing and that any changes are recorded.
- Verify technician’s test data work sheets, test data printouts and/or copies of the testing technician’s personal logbook to ensure test parameters are recorded from material specification or test method. Record of test equipment used and conditioning of test specimens where required.
- Review test results and calculations against the testing technician’s test data work sheets, test data printouts and the testing technician’s personal logbook and evaluates test results for any inconsistencies or indications of errors.
- Review test report has the correct sample identification, customer name, contact name and purchase order number, if applicable.
- Review statements in the test report so they correspond to the customer paperwork and that the revision level of test methods and material specifications are correct.
- Confirm if any tests were subcontracted and the test report identifies those tests and includes a statement indicating so. Verify that a purchase order was issued. Review test report from the subcontractor to ensure that testing was performed as requested on the purchase order and traceability has been maintained.
**Other Administrative Tasks**
- Open Jobs in system
- Code 3rd party invoices, submit to Accounts Payable for entry
- Request system rate updates
- Understand and obtain any contractual approvals required prior to commencement of work, i.e. overtime pre-approvals, work order acceptance forms
- Understand all contractual billing requirements per client
- Answer phone calls and direct to appropriate department
- Verify machining sheets and dimensions of parts to be sent to other labs and customers
- Order office supplies, manage shipping, send test reports, scan documents as needed
- Monitor updates for specifications and review new version of standards
- Assist in creating POs
- Support collections department as necessary
- Other administrative duties as needed
**Requirements**:
- Strong proficiency in MS Word/Excel with general knowledge of Accounting systems
- Previous experience in accurate processing within a high-volume environment
- Ability to professionally and effectively build relationships
- Demonstrate excellent oral and written communication skills
- Experience working in an industrial environment would be considered an asset
