**Position Information**:
The Ward Clerk, under the direction and supervision of the Director of Mental Health & Addictions/Manager or delegate is responsible for organizing the outpatient psychiatrists and performing clerical and receptionist duties, and requisition supplies, equipment and services from other departments.
Essential Job Functions:
1. Meets with the Director of Mental Health & Addictions/Manager concerning daily assignments and work-related needs. Completes staffing duties as assigned (short and Long term needs as per collective agreements under direction of Director/Manager.
2. Acts as receptionist for the psychiatrist, answering inquiries of a general nature by patients, visitors, other departments, staff and physicians, assisting them in a friendly, cooperative manner.
3. Coordinates and provides routine services, schedules, supplies, referrals and equipment to the psychiatrists and department.
4. Performs clerical duties related to procedures such scheduling, admission, discharge
5. Assists with or maintains hospital and unit records
6. Perform additional duties as assigned by the Director of Mental Health & Addictions or delegate
Qualifications:
- Ontario Secondary School Diploma or equivalent is required
- Medical Terminology mandatory.
- Experience in a Mental Health setting is essential.
- Proficiency in electronic patient records including: Cerner Scheduling System, Powerchart, as well as Microsoft Office programs including Word, Excel, Access and Powerpoint.
- Able to take minutes at meetings and assist with the development of agendas
- Able to handle potentially difficult and/or volatile situations with clients in a calm manner is essential.
- Excellent customer service skills
- NVCI training is required.
- Have the ability to work in a fast-paced multidisciplinary hospital and community team environment.
- Assist with administrative student supervision as needed.
- Participate in internal/external committees/working groups as assigned.
- Provide support to the Director of Mental Health services as required.
- Excellent verbal communication skills with physicians, clients, visitors with high regard for public relations.
- Proven written skills.
- Computer skills mandatory.
- Experience in effective staffing.
- Strong organizational skills.
- Reliable and punctual
- Satisfactory vulnerable person’s sector criminal background check.
- Documented commitment to continuing education through inservice, staff meetings and self-motivated learning.
