**Position Overview**: As the **Front Desk - Service Appointment Coordinator,** you will play a crucial role in managing our clients' appointment schedules and ensuring a seamless customer experience. You will be responsible for coordinating appointments, communicating with clients, and providing administrative support to our service team. This position is ideal for someone who excels in organization, communication, and customer service.
**Key Responsibilities**:
- Operate a multi-line telephone system to answer incoming calls promptly and courteously
- Coordinate and manage appointment calendars for multiple service providers.
- Provide accurate information to clients regarding services, availability, and scheduling options.
- Follow up with clients to confirm appointments and provide reminders as needed.
- Maintain client databases and update records with appointment details and client information.
- Assist in resolving scheduling conflicts and adjusting appointments when necessary.
- Collaborate with service providers and other team members to ensure efficient appointment scheduling and client satisfaction.
**Requirements**:
- Proven experience as an Appointment Scheduler, Appointment Coordinator, or similar role preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and manage time effectively.
- Customer service orientation with a professional demeanor.
- Ability to work both independently and as part of a team.
**Preferred Qualifications**:
- Experience in a customer service role within the service industry.
- Familiarity with CRM systems or appointment scheduling software.
- 1 - 2 years’ experience in a similar position.
- Education in business administration is an asset.
- Strong organizational skills and attention to detail.
- Experience in customer service and knowledge of the roofing industry is an asset
- General office experience and experience with a multi-line phone system.
- Ability to work independently.
- Proven ability to work in a dynamic and challenging work environment.
- Must have an energetic personality, people skills, and good grooming standards.
- Well-developed interpersonal and communication (verbal and written) skills.
- Legally entitled to work in Canada.
