About the Position

As the Marketing and Events Coordinator, you are a key part of the IDEA Team.

Reporting to the Executive Director, the Marketing and Events Coordinator will:

- Actively support new member recruitment
- Plan, manage and promote events and communications that engage members,
- Raise awareness of IDEA in the wider Edmonton community,
- Foster relationships with strategic partners and the infill community,
- Plan, coordinate and manage fundraising and educational activities, and responsible for maintaining brand standards.

Key Responsibilities

Plans Events_: _ supporting the Executive Director and Board subcommittee Chairs, uses a planned approach to identify requirements and deadlines, set budgets, and plan and coordinate all the steps required to conduct events with the aims of:

- engaging members and potential members,
- raising awareness in the wider Edmonton community,
- building relationships with strategic partners and the infill community, and
- supporting membership growth, fundraising and educational activities.

Manages Events: Organizes and manages all the logistics surrounding events, such as reservations, rentals, registration and invitations, catering services, equipment installation and setup of spaces. Supervises the running of these events and remains available to resolve any problems that might arise. Welcomes guests and acts as IDEA representative and host for each event.

Supervises volunteers and service providers: Recruits and oversees event volunteers, coordinates and supervises service providers (such as caterers) to ensure that they carry out their duties as directed and to the required standard.

Manages budgets: Manages event budgets, staying within budget limits and complying with related Board policies and financial management procedures.

Advertising: Designs and executes the marketing plans required to conduct events and maximize awareness and participation.

Marketing Duties
- Website and social media management.
- Maintains brand standards.
- Coordination of content creation and posting schedules on social media platforms.
- Creates and manages project plans and timelines to deliver lead generation and campaigns/events in alignment with the marketing calendar.
- Webinar and general event contact management; contact follow-up and contact list maintenance.
- Review and report on the effectiveness and performance of marketing initiatives and campaigns
- Support or lead photography/videography of all IDEA events and activities.
- Actively seek out marketing opportunities.
- Ensure all projects are done in a timely manner, within budget.
- Manage and report attendance and payment at events.

Experience And Educational Requirements
- Post-Secondary Education in Business, Marketing, Event Management, Fundraising or Communications or equivalent.
- 1-2 years of experience working in a marketing coordinator position is desirable; recent graduates are also welcome to apply.
- Content management and photography/videography experience is an asset.

Technical Skills and Experience
- Excellent creative writing and editing skills.
- Experience with VN Video Editor, Adobe Creative Cloud (InDesign & Illustrator) is an asset.
- Experience with website management (e.g. Squarespace), and social media platforms (e.g. LinkedIn, Instagram, Twitter, Facebook).
- Familiarity with Eventbrite registration and Stripe is an asset.

Planning and Coordination Skills
- Excellent organizational, project management and multi-tasking skills
- Excellent verbal and written communication skills and comfortable representing the organization at events and in public settings
- Strong planning and organization skills with attention to detail
- Strong analytical and problem-solving skills
- Exceptional decision-making capabilities demonstrating resourcefulness and confidence
- Ability to work independently and collaborate with cross-functional teams, volunteers and members
- Ability to manage multiple projects and deadlines independently
- High level of professionalism, confidence, creativity, initiative, and commitment to success
- Ability to formulate creative ideas and to analyze, evaluate and negotiate details to create a successful event
