The Pendennis Weddings and Events team is driven by excellence. 1. We expect our team to give us feedback, and we listen. After every event, we expect everyone who worked the event to give us feedback from their perspective. In order to be excellent, we have to listen to those who are there and work to improve.
2. We expect our team to take feedback, often directly, and in the moment. Events aren't about our own egos, but about the client experience. Making sure we are doing our best means recognizing gaps and fixing them as soon as possible.

**Job Title**: Wedding and Events Coordinator

**Position Type**: Casual with the opportunity to be full-time.
**Hours**: Up to 12 Hours shifts, often working events on evenings and weekends.

Our venue is known for its modern and luxurious atmosphere, exceptional service, and a unique blend of elegance and charm, providing the perfect setting for weddings, corporate events, and private gatherings. We are looking for an experienced and passionate Wedding and Events Coordinator to join our team and help us create unforgettable experiences for our clients.
**Key Responsibilities**:
- **Walk Through**: Meet with clients to understand their event vision, preferences, and requirements, offering expert advice and guidance throughout the planning process.
- **Venue Setup & Design**: Set up the venue with your team. This includes overseing the event setup, ensuring that the venue’s design and décor align with the client’s vision. Collaborate with the design team to execute themes, layouts, and décor arrangements. This includes moving chairs, tables, lifting up to 50 lbs, and moving more than 10,000 steps many events. It is a very physical job.
- **Vendor Management**: Serve as the primary liaison between clients and external vendors, ensuring timely communication and the highest standards of service.
- **On-Site Event Execution**: Lead and coordinate all event day activities, ensuring smooth operations from arrival to departure. Manage any last-minute changes or challenges that may arise.
- **Guest Services**: Ensure that the needs of guests are met promptly and efficiently, providing exceptional customer service to all involved in the event.
- **Post-Event Follow-Up**: Coordinate with clients and vendors for post-event feedback, ensuring that the venue meets or exceeds expectations.
- **Event Planning & Coordination**: As we grow we are looking to add in additional services. This would include developing and managing comprehensive event timelines, budgets, and checklists. Coordinate all logistics, including vendor management (caterers, florists, photographers, etc.), transportation, accommodation, and any special requests.
**Qualifications**:
- Proven experience as a Wedding and Events Coordinator, Event Planner, or in a similar role within a luxury company, high-end venue or hospitality environment. Evidence of strong customer service skills is a must.
- Exceptional organizational and project management skills, with the ability to manage multiple events simultaneously (not on the same day).
- Strong communication skills and a client-first attitude, with the ability to build and maintain relationships with clients, vendors, and colleagues.
- In-depth knowledge of wedding traditions, event planning processes, and vendor services.
- Excellent problem-solving abilities and a calm demeanor under pressure.
- A passion for event design, customer service, and the ability to turn a vision into reality.
- Proficiency in Planning Pod is a plus
- Availability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
