**Job Purpose**

Supports the Maintenance Department by completing analytical and administrative functions.

Some of the essential duties of the position include: closing work orders, creating work notifications, payroll, overtime equalization, vacation approvals and overtime coverage, tracking and filing documents, purchasing support, managing equipment rebuilds, filing, data management.

**Key Job Functions **and Accountabilities**

1. SAP PM system - Complete Work Orders, create follow-up Notifications, extract data for compilation/analysis,

2. Payroll - Review, adjust, approve hourly employee time to ensure correct payment

3. Overtime - Prepare Weekly Equalization according to the CBA. Prepare offers of overtime for shift coverage

4. Scheduling - Prepare annual shift schedule. Review and approve vacation requests as per the CBA. Track vacation on the schedule.

5. Filing - Maintaining records for durations as per procedures. This includes safety documents, work orders, inspection records, etc. Filing of new equipment manuals and drawings. Includes both electronic and hard copy files.

6. Data Management - Pulling data from SAP into Excel to determine statics as requested. As example pulling historical cost data for a piece of equipment or summarizing the number of open work orders by area or crew.

7. Equipment Rebuilds - Track all equipment that has been sent out for rebuild, coordinate shipping, manage all costs of the rebuild from start to the conclusion of the part being returned to inventory

8. Purchasing - create Purchase Requests as needed. Investigate invoicing issues as needed with suppliers and contractors

**Skills**
- Ability to read and interpret documents such as safety rules and procedures.
- Ability to write routine correspondence.
- Strong organizational skills
- Ability to process large amounts of data quickly and efficiently
- Strong knowledge of Microsoft Excel.
- Working knowledge of SAP maintenance software would be an asset or training will be provided

**Education**

High school Diploma

**Experience**

SAP/Ariba training preferred

**Knowledge**
- Computer including Excel, Windows, Microsoft Office, SAP
- Basic understanding of scheduling and payroll
- Basic understanding of cost tracking, accounting, invoicing, purchasing
