Program Officer, School College Work Initiative

Reporting to the Manager, Academic Operations (MAO), the Program Officer (PO), School College Work Initiative (SCWI) provides front-line administrative, clerical and organizational support specific to a cluster of programs and courses within the SCWI group of programs to ensure the success of SCWI programming, day-to-day operations and students. The five components of SCWI are Dual Credit, Adult Dual Credit (ADC), School Within a College (SWAC), Ontario Youth Apprenticeship Program (OYAP), and SCWI Activities. Working in concert with the SCWI Program Lead (PL), the incumbent ensures the completion/accuracy of registrations, program scheduling and student data, information and processes, which are critical to support program administration, students, faculty and school board partners, as well as maintenance of the SCWI Access database. Under the direction of the MAO, the incumbent works closely with the PL to identify new data collection needs and opportunities, student onboarding information, and distribution opportunities with an eye to the ongoing improvement of current administrative practices and activities.
The PO provides frontline support to current and prospective students pertaining to course or program selection, course cancellations and details alternatives to meet the needs of students and maintain registration. Along with the team, the PO will monitor students who are experiencing difficulties, are at-risk, and/or are unclear about the next steps regarding any aspect of their Sheridan experience with a focus on student success at all times. The PO assists the PL and acts as a backup point of contact for internal and external stakeholders including school boards leads, guidance counsellors, high school and elementary school teachers, parents/guardians, and Sheridan faculty and is responsible for answering, troubleshooting and triaging questions and concerns including guiding part-time and full-time faculty, and support staff on the policies and procedures as it relates to SCWI, as and when necessary.
What You’ll be Doing
Providing initial information regarding program length and logistics; preparing correspondences and progress reports for external partners and/or referral agencies;
Schedules courses in PeopleSoft; ensures data (delivery mode, campus, teacher, school board allocations) is entered/accurate based on enrolment plan developed with MAO and PL.
Determines the availability of programs for a term based on MAO and PL's recommendations
Prepares program and student enrollment updates; reports to School Board
Advises MAO and PL of faculty and student recruitment needs.
Ensures course outlines are updated, course offerings are updated on social media and documents for school boards; ensures Faculty are notified of any changes to course offerings.
Informs team members of course delivery selections per term so that arrangements for book and course material items can be coordinated.
Administers course student demographics, enrollment numbers, success and retention, data, student grade reports, evaluations/surveys, and prepares meeting summaries inputting data into the SCWI Access database.
Provides external partners or professional associations with the documentation required for standards/procedures
Participates in program review meetings with SCWI partners
Provides clarification to students/potential students about the course or program selection, course cancellations and details alternatives to meet the needs of students and to maintain registration.
Advises on Sheridan policies and procedures related to areas such as enrolment status, status checks, registration procedures, withdrawals, and accessibility.
Provides orientation on the use of Sheridan Central, IT Services and other program-related software.
Prepares student grade reports in consultation with Faculty Offices; sends reports to school boards
Maintains student success and retention data records - based on student forms/grades using the SCWI Access database.
Works closely with MAO, PL, and Academic Portfolio Administrators, to verify program information is accurate and changes are communicated to faculty and students.
Works closely with the PL to maintain/update program planning files (i.e. work plan), develops media program promotions and reporting presentations, and surveys for program delivery satisfaction and improvement assessments
Prepares the purchase and distribution of textbooks and other instructor support materials.
Prepares semester information resources (student schedules, school board contacts), office resource binder, materials, i.e. class rosters, PeopleSoft class numbers, attendance lists.
Advises on SCWI/Sheridan policies/procedures and resources for students and faculty
Updates student grade changes on SCWI records; analyzes grade report files provided by faculty for accuracy.
