Administrator/Document Control

Department: Coating and Blasting

MAXX North America Services Ltd., a leading provider of energy transportation services across Western Canada, is looking to hire a Administrator/Document Control to work in our Coating and Blasting division.

Key Responsibilities:

- Maintain and control coating documentation, including records, reports, and certifications.
- Ensure all documentation complies with industry standards and company policies.
- Coordinate with the coating team to manage project documentation and timelines.
- Assist in the preparation of coating and blasting specifications, procedures, and quality control plans.
- Monitor and track coating and blasting project progress and provide regular updates to the team.
- Assisting the Project Managers with administrative functions and processes.
- Managing day-to-day activities for the Project Management team.
- Assisting with analysis of project data and updating progress reports.
- Creating and managing LEMs for projects.
- Creating and processing purchase orders.
- Create and maintain reports addressing all aspects of projects including budget, schedule, and quality.
- Review tender documents and estimates for RFP/RFQ supplied by clients.
- Assist with dispatching and onboarding the field crews and equipment as required for each project.
- Confirm safety and client certifications for field staff for each project based on client requirements.
- Create purchase orders for vendors with Terms and Conditions.
- Act as primary liaison with site supervisors and subcontractors.
- Manage daily field tickets and invoices from vendors.
- Report daily production to the Division Manager.

Qualifications:

- High school diploma or equivalent; additional certification in coating, document control, or related field is a plus.
- Previous experience in administration or document control.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills, and a positive attitude is a MUST.
- Ability to work independently and as part of a team.
- Knowledge of industry standards and regulations related to coating and blasting is preferred.
