Job Summary:
The Payroll Specialist is responsible for the preparation and administration of all activities relating to the Canadian bi-weekly payroll functions. Integrity and strong attention to detail are crucial for this role. This role will also assist with the US Payroll as required.
Primary Responsibilities:
- Coordinate activities with 3rd party payroll provider for payroll processing and additional services, including first-level escalation of issues/challenges.
- Preparation and administration of the Canadian payroll, while auditing payroll processing reports for accuracy.
- Ensure that all employees are paid accurately and in a timely fashion while complying with all Provincial /State laws and requirements.
- Proactively identify potential issues concerning payroll processes, errors, and systems and propose solutions (in conjunction with business and outsourcer resources as appropriate).
- Review payroll data and calculations to ensure accuracy and completeness; follow up with stakeholders as required for missing Time & Attendance data with staff/supervisors.
- Calculate manual payments when required and initiate off-cycle payments.
- Respond in a timely manner to payroll-related questions and assist with the resolution of issues.
- Prepare and enter payroll journal entry from payroll system into G/L (NetSuite / Oracle).
- Support the US payroll processing as required.
- Assist with the preparation of the year-end cycle including (T4 /W2).
- Prepare payroll-related forms, such as records of employment and any applicable remittances.
- Issue hoc, monthly, quarterly, and annual reports.
- Maintain detailed records and documentation of payroll functions for audit purposes.
- Continually strive to find efficiencies in the payroll process.
Job Qualifications:
- 2+ years of payroll-related experience, ideally in a multi-jurisdictional environment
- PCP designation (Payroll Compliance Professional) or in progress - (National Payroll Institution)
- Diploma/Degree in Business Administration, HR, or another relevant field
- Experience dealing with 3rd party payroll providers/outsourcers
- Manufacturing experience is an asset
- Flexible to travel.

- Proven ability to handle sensitive issues in a professional, confidential, and timely manner.
- Team-oriented, with excellent relationship-building and communication skills, including the ability to build strong working relationships with key stakeholders across.
