**Job Overview**
Spice Box is a dynamic and mature company in the arts, crafts and hobby sector, delivering quality products to a global customer base. We're currently seeking a **detail-oriented and proactive Ocean Shipping Coordinator** to manage end-to-end shipping processes, ensuring timely, efficient, and accurate fulfillment of customer orders.

**Key Responsibilities**:
**1. Order & PO Coordination**:

- Collect order information from internal team members including product details, EXW dates, packing methods, and customer-specific requirements.
- Review Sales Orders and Customer POs to determine ship dates, payment terms, shipping methods, and special handling instructions.

**2. Shipping Prep & Documentation**:

- Prepare and send carton markings to printers; ensure customer-specific formats are followed.
- Send shipping instructions to printers, coordinating based on direct or indirect shipment routes.

**3. Shipment Booking & Follow-up**:

- Work with vendors in China to book vessels and confirm timelines.
- Collect and verify all shipping documentation (Invoice, Packing List, Bill of Lading) and distribute to relevant stakeholders.
- Ensure proper release of B/Ls based on payment terms.

**4. Warehouse & Logistics Coordination**:

- Notify warehouses of incoming containers and provide detailed packing lists.
- Coordinate container pickup and delivery with trucking companies.
- Update and circulate the Weekly Shipping Status Report to the internal team.

**5. File & Document Management**:

- Organize and archive all shipping-related documents on the internal server.

**6. Shipping rate negotiation with Freight forwarders to get the best rates.**

**Requirements**:

- 2+ years of experience in ocean shipping coordination, logistics, or supply chain management
- Strong knowledge of international shipping processes (FOB, EXW, LCL, etc.)
- Experience working with freight forwarders and customs documentation
- Excellent organizational and communication skills
- Proficiency in Microsoft Excel and basic ERP/document systems
- Ability to manage multiple priorities and meet tight deadlines
- Familiarity with customer-specific shipping formats
- Great team player and details oriented
- Mandarin speaking is preferred due to the daily communications with vendors in China

Working hours: 8:30 to 5:00 (Monday to Thursday at the present, moving to full time in early 2026)
