Duties and Responsibilities:

- Create timelines, milestones, and deliverables to contribute to effective project planning.
- Follow up on the progress of action items and other tasks and report to the project manager.
- Support team members in completing their tasks to ensure they meet milestones.
- Update and organize project files, such as meeting minutes and progress reports.
- Use project management software to maintain charters and process flows.
- Assist in risk mitigation, identification, tracking, management, and resolution.
- Schedule meetings, conference calls, and project-related events with team members.
- Observe the team’s performance and provide detailed updates to the project manager.
- Assist in the preparation of project presentations and reports for senior managers.
- Conduct research and gather data to support project initiatives and encourage good decision-making practices.
- Assist the project manager with budgeting, logging expenses, and filing financial reports.
- Facilitate communication among team members and liaise with the project manager.
- Provide administrative support to the project manager when necessary.
- Seek opportunities for process improvements and make recommendations.
- Write and distribute project related messages, such as memos, and status updates.
- Collaborate with cross-functional teams that include a diverse range of personalities and skills.
- Maintain confidentiality and observe data protection and associated guidelines always.
- Assist with photocopying and correspondence delivery when required.
- Update and track relevant procurement information through excel.
- Submit reviewed shop drawings to engineers/consultants for approval. Once approved distribute to project manager for review and comment.
- Complete valve tag and pipe labelling lists.
- Liaise with project team to compile and submit quotations for change notices when required.
- Compile and format completed/reviewed red-line drawings (As-Builts).
- Compile and format operation and maintenance manuals to contract specifications.
- Produce Project Profiles at the end of the project to showcase work completed.
- Prepare project updates to be shared in weekly progression meetings.
- Provide phone coverage and assist with Reception tasks when necessary.
- Other duties as assigned by the Manager and not limited to the above.

Skills/Qualifications:

- College or university graduate or equivalent work experience.
- Excellent written and oral communication skills.
- Advanced knowledge of MS Office (Outlook, Excel, Project, and Word) and Adobe Acrobat.
- The ability to multitask and problem solve in a fast-paced work environment.
- Knowledge of construction processes considered an asset.
- Knowledge of Procore Management Software considered an asset.
- Knowledge of Sage AccPac considered an asset.
