We are looking for a professional **Office Champion (Receptionist/Administrator)**who has a warm, positive and energetic personality to manage the daily tasks that this role supports and be the welcoming face that greets our clientele when they arrive at our main office in Kingston.

We view this role as important to our functioning as you will support a variety of different departments and tasks and create space to welcome visitors, guests, and clients to the CaraCo office.

**Reception and Administration Responsibilities**
- Direct people to the right department or person across the organization.
- Provide the property management business administrative support, including but not limited to the preparation of notices, receipts, letters, general filing responsibilities, archiving and file management.
- You will accept courier deliveries and prepare packages for pickup.
- Support our employees by ensuring the photocopier has toner and paper.
- You will assist with booking and controlling our meeting room calendar for events, meetings and general usage.
- This role supports the tidying of our office spaces such as cupboards refrigerator, counter tops, dishwasher, and stocks refreshments and handles food deliveries.
- Additionally, this role has the duty to purchase items and create purchase orders in accordance with company procedures. You will also assist the business in managing purchase orders.
- This includes ordering office and cleaning supplies, distributing the supplies upon arrival.
- Maintaining an adequate inventory of office supplies and organizing control methods where necessary and appropriate.

**Finance**
- This role also encompasses financial aspects such as processing debit and credit card payments from tenants, and clients.
- You will have the opportunity to assist with the collection of outstanding receivables
- Balance and report on the monthly debit and credit card reports.
- Match packing slips and invoices and work collaboratively with our accounting department
- Support our tenants by preparing annual rent receipts.

**Maintenance Support**
- You will support our team by providing evaluation and monitoring of the snow removal in the winter months, and parking lot sweeping in the warmer months.

**IT Support**
- You will help organize meetings, set up boardrooms and be our office champion for setting up phones, tracking information, and supporting the day-to-day processes that intertwine with this role.

**Skills and Experience**

Completion of High School

Strong communication skills and professionalism

Enjoy working with people, customer service, and bringing innovation and creativity to the role.

Multitasking and time-management skills with the ability to prioritize tasks

Above average computer skills, with experience in the MS Office Suite and Yardi (asset)

Experience as a receptionist or administrative assistant is an asset

Pay: $48,000.00-$54,000.00 per year
