**The Position**:
Paragon Living is currently hiring a full-time Property Administrator with a strong focus in resident services, maintenance coordination, and day-to-day operations of our growing portfolio.
**Responsibilities**:
**Resident Relations**
- Maintain positive resident relationships by being the main point of contact for resident inquiries and concerns. Address resident complaints and resolve issues in a timely and professional manner.
- Coordinate with all team members to create welcome kits, resident communications, events and engagements to ensure high levels of satisfaction and retention.
**Lease Management**
- Assist with the creation of lease agreements, renewals and terminations, and coordinate with other team members for marketing and re-rental purposes.
- Collaborate with management and other team members to ensure accurate daily / weekly / monthly reporting for internal and external use.
**Budgeting / Financial Reporting and Accounts Receivable**
- Assist the Property Manager with the annual budget process for the portfolio; as well as regular financial reporting to owners as required.
- Monitor expenses in relation to maintenance items to ensure budgetary goals are met.
- Monitor accounts receivable reports and investigate overdue or credit balances; work with Property Manager and Accounting to follow up as required.
**Property Maintenance Administration**
- Coordinate and distribute maintenance requests as received from residents, onsite staff, or from management and update digital work order system as required.
- Assist the Property Manager in maintaining the property including scheduled maintenance coordination, unit turnovers, seasonal contracts, and health/safety requirements.
- Work closely with maintenance staff or contractors to ensure performance, adherence to quoted work, service agreements and timelines
- Work with Property Manager to conduct regular property inspections to identify maintenance needs and ensure properties are well maintained.
**General Administration**
- Maintain resident and property records in accordance with standard record-keeping procedures.
- Ensure compliance with Manitoba Residential Tenancies Act, Policy and Guidelines.
- Support the Property Manager with ongoing development/improvement of internal processes as part of our portfolio and operational growth.
- Assist in the acquisition and onboarding of new properties to the portfolio, and ensure seamless integration into existing operations.
- Offer support to all team members as necessary and when requested.
Other duties as assigned.
- Completion of Grade 12 or equivalent.
- Minimum 3 years of progressive experience in residential property management.
- Knowledge and experience with navigating the Manitoba Residential Tenancies Act, Policy and Guidelines, and procedures.
- Competent in utilizing various software and web-based platforms including Microsoft 365, Yardi (or similar programs), QuickBooks and others as required.
- Effective planning and organization of job responsibilities; ability to work collaboratively or independently, depending on the tasks at hand.
- Excellent communication skills.
- Ability to problem solve with mínimal direction; be cognitively aware of when to escalate issues to upper management for further direction.
- Strong sense of confidentiality, tact and diplomacy.
- Dedication to ongoing learning and skill development, both in and outside the office environment.
- Valid drivers license and reliable vehicle.
- Ability to provide a clear Criminal Record Check upon request.
