Overview:
**Term: 13 months**

Under the guidance of the Assistant to the Chair, the Administrative Coordinator ensures the processes of recruiting new faculty are performed according to established University policies and procedures and provides administrative support to all Department Advisory Committees on Appointments (DACAs).

**Responsibilities**:
Data Tracking and Record Management
- Sets up advertisements on the Online Faculty Application System (OFAS) and assigns permission to appropriate DACA members

Faculty Recruitment
- Requests reference letters as directed by the DACA
- Reviews DACA members calendars to ascertain availability for interviews
- Schedules and maintains tracking system for all interviews
- Sets up virtual or in-person lectures/seminars and interviews with various Faculty members
- Distributes seminar announcements to Faculty, Post-Doctoral Fellows, Graduate Students and ensures it is posted on the Department webpage
- Attends lecture/seminar, takes attendance, and follows up with the attendees for their comments
- Issues rejection letters as directed by the DACA or Assistant to the Chair
- Assists the Assistant to the Chair in the preparation of statistical data and UARC documentation

New Faculty Orientation
- Ensures appropriate office and lab space have been assigned and that furniture and desk are in place prior to arrival
- Provides orientation for new Faculty members, accompanying them to Key Control, Watcard office, etc. and ensures that all support services are arranged
- Works with the Assistant to the Chair to create an electronic onboarding manual with information and links to appropriate departments on-campus

Other Department Support
- Acts as back up for processing visiting or non-faculty appointments during all absences of the Research Appointment Coordinator
- Provides backup support to the Department Assistant as required
- Provides administrative support to Faculty as assigned by the Assistant to the Chair
- Attends all training on new systems, procedures and other meetings as required
- Develop and maintain the procedure manual for this position
- Assists with maintaining records in department database
- Assists with special projects and other duties as assigned by the Assistant to the Chair

Qualifications:

- Post-secondary diploma in business administration, or equivalent combination of education and experience
- 3 years of related experience providing administrative support in a fast-paced environment- Knowledge of University of Waterloo policies, procedures and systems is an asset- Intermediate skills in Microsoft Office, Outlook, Zoom and MS Teams- Strong organizational and time management skills with the ability to remain calm and in control when faced with multiple and often competing demands- Must have the ability to operate with a high degree of confidentiality
