**Role Summary**:
Prosci Canada is seeking a highly organized and detail-oriented Training Logistics Coordinator to join our team. As the Training Logistics Coordinator, you will be responsible for the day-to-day coordination of public programs. This position is responsible for processing and managing public program registration records, backup logistics arrangements with venues, and managing communications with clients and internal staff to ensure program success. Position requires a proactive approach and sensitivity to the time critical nature of logistics planning and execution.

**Scope & Responsibilities**:
**Program Coordination & Logistics**:

- Manage training session registration and pre-program requirements. Assist participants in the registration process from beginning to end in order to establish a positive and mutually rewarding client experience with all participants that drives long-term client relationships.
- Process and manage individual program registrations, through Salesforce, may include creating account and contact records to the appropriate event and moving when or noting when cancellations or changes happen.
- Backup processing payments for public program registrations and issuing receipts.
- Maintain accurate tracking of program numbers and waitlists.
- Complete orders ensuring the proper amount of classroom material sets are sent in a timely manner. If applicable, coordinate with venue’s restrictions to minimize holding fees.
- Confirm arrival of all materials & complete order process for Public programs.
- Monitor feedback for programs, being proactive to concerns ensuring a positive experience each time.
- Communicate with Instructors before, during and after each program.
- Software system for Public Programs: Portal updates and changes.
- Manage Program details, availability, documentation on our corporate website.
- Communicate logistics frequently with other staff.
- Produce logistic items as needed.
- Act as back-up for Enterprise programs as needed.
- Process Train-the-Trainer orders as needed.
- Following and enforcing Prosci’s internal standards and policies.

**Customer Service**:

- Handle customer service calls on public program registrations, payments, or other issues.
- Together with the Logistics team, ensure appropriate customer service levels to ensure phones are answered in a timely manner, program logistics are met and customer expectations are exceeded.
- Manage post-registration questions for all programs.

- Average knowledge of Salesforce, Business Central
- Proficiently utilizes Microsoft 365 (Outlook, Teams, Excel, etc.)

**Qualifications**
- 1-2 years of career experience in customer service or support or similar type customer facing roles.
- Bilingual English/French is required.

**Additional Preferences**:

- Degree or Certification or Diploma in relative field (Business Administration, Human Resources, Customer Service/Hospitality an asset)
- Experience in Customer Service, administration an asset
