**Accounts Payable Clerk / Office Administrator**

**REPORTS TO**:Financial Controller

**SALARY RANGE**:$25.00 - $30.00 Hourly

**HOURS: 40**+ hours weekly

**SUMMARY**:The Accounts Payable (A/P) Clerk / Office Administrator is responsible for processing all invoices received for payment and for undertaking the payment of all creditors in an accurate, efficient, and timely manner, as well as general office administrative duties.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**
- AP Duties:

- Match AP invoices received to related receiving paperwork in a manufacturing environment; review for accuracy and follow up with any issues
- Code and post AP invoices into ERP system (Sage 300)
- Assist with payment planning, including cash flow projections and early payment discounts
- Establish regular communication with internal purchasing staff as well as vendors, to ensure accounts are accurate and reconciled
- Maintain regular communication with internal staff for approval of invoices and any concerns about PO or receiving documents
- Assist with GL reconciliations, month end procedures, and other accounting department functions.
- Filing and assistance with documentation control by ensuring electronic copies of supporting documents, invoices, approvals, and related documents are saved in accordance with company standards
- Responsible for transactions related to AP activities - i.e. follow up of debit balances
- Corporate credit card reconciliations
- Other related accounting duties as they arise

Office Admin Duties:

- Open office each morning
- Coordinate office supplies & ordering for the department
- Order and arrange for breakfast program and special events (meetings etc.)
- Montor phone lines and direct inquiries to appropriate department
- Collect and sort mail, deposit cheques
- Coordinate janitorial and maintenance contracts/services for corporate office.
- Various office administration as required

**PHYSICAL DEMANDS**
- Ability to lift/carry boxes/packages/parcels up to 20lbs (includes floor to waist lifting).
- Sitting for extended periods
- Periodic climbing (stairs)
- Repetitive use of hands/wrists with light grasping
- Occasional walking/twisting/bending/reaching above and below shoulder.

**WORK ENVIRONMENT**
- Working conditions are normal for an office environment, mínimal noise with temperature controls.
- Use of personal protective equipment (PPE) if in the manufacturing facility to include but not limited to, safety glasses, steel toe foot protection, hearing protection, and hard hats.

**QUALIFICATIONS**

**EDUCATION/EXPERIENCE**
- High School diploma, or equivalent
- Previous experience in an Accounting Clerk role
- Strong computer skills including Office 365 suite, SharePoint, and ERP software - experience with Sage 300 would be an asset
- Exposure to accounting in a manufacturing environment would be an asset although training is provided

**KNOWLEDGE**
- Solid understanding of account payable principles and basic bookkeeping
- Basic accounting knowledge, familiarity with GL accounts, basic understanding of banking and financial systems
- Advanced data entry skills
- General Safety polices & procedures

**LANGUAGE SKILLS**
- Intermediate oral comprehension and expression; Must speak, read and write in English fluently
- Literacy equivalent to OECD Level 3 or higher

**MATHMATICAL SKILLS**
- Basic knowledge of accounting systems & budgets
- Numeracy skills level 2, or higher
- Complex problem solving
