The Faculty of Graduate and Postdoctoral Studies (G+PS), in collaboration with approximately 80 academic units across all academic faculties, is responsible for the recruitment, admission, support, and graduation of approximately 11,000 graduate students who attend UBC annually and supports more than 900 Postdoctoral Fellows.
Job Summary
The Manager, Community Engagement, Support and Training focuses on community building and support strategies, as well as content development and facilitation of training activities for graduate program staff and advisors. Strong communication and content creation skills to produce a variety of outputs such as digital assets, website content, videos, and training materials, are an essential part of the work of the Manager.
A core goal for this position is to enhance and facilitate support for decentralized unit employees (GPO/GA) to help them achieve and maintain excellence in graduate administration along the entire spectrum of graduate programming, including recruitment, admission, funding, communication, progress tracking, supervision, community, and wellbeing. There are considerable knowledge and innovative practices across the university - the Manager, Community Engagement, Support and Training will help surface, identify and share this expertise for the benefit of all stakeholders.
Based on capacity and needs the manager may provide support related to community building, communication, content creation and training to other G+PS audiences, such as faculty or students, in collaboration with other G+PS teams.
Organizational Status
Professional team member of the Communications and Strategic Initiatives (CASI) group within the Dean’s Office in G+PS. Reports to the Assistant Dean, Strategic Technologies and Business Initiatives, and works closely with the Dean and Vice-Provost, the Faculty Executive Committee, and all team leads in G+PS.
Work Performed
Training / Support
- Leads, plans strategically, and assesses activities broadly regarding training and support activities provided by G+PS and other campus partners for GPO and GA.
- Maintains, reviews and improves G+PS facilitated programming for GPO and GA and other audiences where needed.
- Manages, reviews and enhances training resources and websites to document or update business processes, policies and procedures.
- Assesses existing training materials and plans provided by G+PS, identifies gaps, works with team leads on development and provision of new training materials. Incorporates ideas and knowledge from target audience. Supports the development and maintenance of required training materials.
- Identifies issues and concerns in current ecosystem, through feedback and assessment, that result in suboptimal learning and/or administration. Proposes solutions to address such issues.
- Researches, plans and establishes training schedules as an ongoing activity that is coordinated and appropriately timed throughout the year, tracks attendance and promotes participation as well as highlights successes of the training.
- Develops, delivers, or facilitates educational sessions, training, webinars and workshops; in-person, virtual and/or hybrid as required.
- Designs, develops and implements creative learning strategies, training plans, instructional materials and associated communications including proposals, presentations, events, and promotional materials.
- Develops learning outcomes, sets goals, evaluates and assesses methods, gathers feedback to ensure activities are valuable, appropriate and of high impact with maximized opportunities to engage with our stakeholders.
