Under the supervision of the Manager, Academic Affairs, this position will support the department of Academic Affairs
by providing confidential administrative and clerical support with the goal of supporting the academic mission of
TBRHSC.
PRIMARY RESPONSIBILITIES:
*Must provide patient care or services in a manner that is consistent with TBRHSC mission, vision, values and
reflects the philosophy of patient and family centred care.
*Must treat all information concerning patient affairs or illnesses and/or hospital business as confidential, privileged
information, which must never be discussed except in the course of duty.
*Must be accountable for ensuring the safest patient care and services and for recognizing and reporting safety
incidents or potentially unsafe conditions.
*Must abide by the Code of Conduct, work to foster an inclusive environment that honours each individual's
uniqueness, and provides a culturally safe experience through respect and compassion for all staff, professional
staff, patients, and community partners.
*Provide confidential administrative and clerical support to the office of Academic Affairs.
*Support learner placements from across numerous academic institutions
*Data entry duties in programs such as the Learner Database and Elentra
*Report creation as required from NirvSystem and HspNet
*Schedule meetings, video conferences, appointments and book rooms as requested
*Organize recurring meetings, maintain membership lists, confirm location, video conferencing and audiovisual
equipment, and arrange catering when required
*Complete and distribute meeting agendas, minutes and related correspondence
*Assist in the preparation for special projects, such as orientation, Resident Appreciation Week, CaRMS Celebration
and Preceptor/Learner Appreciation Week
*Develop and prepare signature ready documents such as, Affiliation Agreements
*Organize and maintain the departments internet and intranet pages including policies and procedures
*Order and maintain office, call room and linen supplies
*Assist with the orientation of new learners
*Other duties as assigned
EMPLOYMENT REQUIREMENTS:
Education/Experience:
*Diploma in Office Administration and/or equivalent combination of education and related experience
Skills/Abilities:
*Proven speed, accuracy and proficiency in the use of Microsoft Word, Excel and Powerpoint
*Interest/experience in web‑based learning technology
*Ability to maintain confidentiality regarding job assignments and sensitive issues.
*Excellent oral and written communication skills, including pleasant disposition, integrity, discretion, and tact.
*Ability to work independently to prioritize and coordinate assigned tasks.
*Demonstrate prompt and regular attendance

*Understanding of the impacts of academic placements in a hospital setting
Salary Range: $26.415 to 31.080
