Administrative Assistant Pembina Lodge
Position Type: Temporary Full Time
Hours Per Pay Period: 75.00
Hours of Work: 8:30 am to 4:30 pm
Salary Range: $26.97 to $28.08 per hour
**Job Role**
Reporting to the Community Manager and/or designate, the Administrative performs a variety of administrative and clerical duties associated with the daily site operations, ensuring accuracy, confidentiality, and professionalism. The role requires flexibility in managing competing workload demands and unscheduled events.
**Job Duties**
- Greets and communicates with all residents, guests, staff, volunteers, and visitors in a friendly, welcoming, courteous and professional manner. Answers and transfers all telephone calls in a pleasant, friendly, and helpful manner, and takes messages when necessary.
- Listen and respond to resident, visitor, and staff questions in a supportive manner and direct them to management as appropriate.
- Supports other department heads with administrative tasks including creating documents,updating checklists, meeting minutes, resident lists etc.
- Communicate with and support the sites by ensuring timely communication and updates for unplanned sick or other leave staff replacements.
- Assist and help residents with general requests such as programming and operating telephones, televisions, electronic equipment, and emergency call pendants.
- Assist and help residents and staff with tuck shop sales, meal tickets, stamps, and other items.
- Manage keys, telephones, pendants and door access fobs for residents and staff.
- Manage cash floats and complete daily sales deposits.
- Prepare and manage monthly office supply orders using a minimum/maximum inventory order list.
- Typing and formatting of memos, letters, posters, checklists and other documents.
- Replace shifts for Time off Request or Sick Leaves.
- Assist Resident Service Manager with tours for potential clients.
- Ensure all information regarding Homeland Housing, residents, families, visitors Employment Opportunity and Staff remain Confidential.
- Perform other related duties as required.
**Knowledge, Skills, and Abilities Education, Training, and Experience**
- Strong English communication skills are required; both written and verbal;
- A post-secondary certificate in recreation therapy or related field; or
- Three to five years of previous related experience in event coordination or community programming;
- Proficient working knowledge of Office 365, including Publisher and PowerPoint;
- First Aid and CPR certification is required or must be attained within three months of hire;
- Clear Vulnerable Sector - Criminal Record Check;

- Strong ability to plan, organize and direct the delivery of recreation services;
- Proven leadership, conflict resolution, and relationship-building skills;
- Ability to effectively multi-task, manage time effectively, and prioritize work
- Ability to anticipate needs and take initiative to complete work in the absence of direct supervision
- Strong communication skills and professionalism when dealing with residents and the public
- Ability to demonstrate tact, diplomacy, empathy, and patience in providing quality services to residents and
