**Position Title: Clerical Assistant**
**Supervisor: Director IT, Finance and Corporate Services**
**Type: 1 FT Position (35 hours / week)**
The College of Traditional Chinese Medicine and Acupuncturists of Ontario was established under the Traditional Chinese Medicine Act, 2006 and the Regulated Health Professions Act, 1991 to regulate the practice of traditional Chinese medicine in the public interest. The College has a duty to ensure that the Ontario public has access to safe, effective and ethical care in their dealings with members of the College.
The College is seeking a **Clerical Assistant** responsible in providing administrative support and assistance to the Director and Team members within the division.
**Key Responsibilities**
**Administrative and Operational Support**
Cover duties of the Administrative Assistant on an as-needed basis:
- Draft correspondence as required.
- Responsible for all incoming and outgoing mail.
- Conduct general office tasks, such as filing, scanning and photocopying.
- Maintain positive interaction with staff, Council, Committees and the public as needed.
- Coordinates bookings for meetings and teleconferences, and catering for meetings.
- Maintains inventories of supplies, equipment, publications and ensures that they meet the daily work flow needs of the office including ordering of office supplies.
- Handle confidential information/material as directed.
- Handle paper and electronic filing, back-up, safe storage and retrieval of records/documents.
- Other duties may be assigned.
**Finance Services Program**
Provides support of the day to day administration of finance and accounting operations:
- Processes and mails accounts payable cheques in a timely manner.
- Processes and inputs accounts payable and receivable into the College’s accounting system in a timely manner.
- Processes and mails invoices, follows up on outstanding accounts, and maintains accurate accounting files.
- Reconciling Council Member expenses
**Requirements/Qualifications**
- Proficient in using MS Office (i.e. Outlook, Word, Excel); additional knowledge of Microsoft Dynamics CRM and QuickBooks an asset.
- Experience performing clerical support duties
- Experience providing customer service and responding to inquiries.
- Ability to handle confidential and sensitive information with discretion and tact.
- Excellent interpersonal, communication and organizational skills.

**Compensation**
We offer competitive compensation and benefits including dental and extended healthcare insurance, defined benefit pension plan and paid vacation and personal days.
**Salary**: $42,000.00-$52,000.00 per year
