**Job Summary**
The Install Coordinator is responsible for overseeing all aspects of installation logistics, from quoting and scheduling to product delivery and return management. This role ensures seamless communication between customers, vendors, warehouse staff, and installation teams while maintaining accurate documentation and contributing to overall customer satisfaction.
**Duties & Responsibilities**
- Prepare detailed installation quotes, including labor, materials, and additional services.
- Review quotes with customers and follow up to confirm approval.
- Schedule installation dates based on customer availability and product readiness.
- Communicate clear timelines and expectations to customers and installers.
- Verify product availability and confirm order quantities with the warehouse.
- Coordinate with the warehouse to ensure accurate picking and staging of orders.
- Monitor and update installation schedules based on stock status.
- Oversee local deliveries and confirm successful receipt with customers.
- Manage product transfers between warehouse locations and internal departments.
- Track labor hours and material usage for time-and-material jobs.
- Submit job logs and billing notes to the accounting team.
- Generate accurate invoices based on services rendered.
- Maintain thorough records of installations, quotes, deliveries, returns, and billing.
- Schedule and manage vendor pick-ups for returns or product exchanges.
- Oversee product returns to the warehouse, ensuring proper documentation and restocking.
- Work closely with customer service to monitor return statuses and ensure resolution.
- Serve as the central point of contact for customers, vendors, and installers.
- Proactively communicate delays, missing items, or scheduling changes.
- Resolve issues quickly to ensure a smooth and professional installation experience.
- Assist with shipping, receiving, and inventory management as needed.
- Conduct regular inventory counts and reconcile any discrepancies.
- Support general warehouse operations during peak periods or staff shortages.
**Skills/Qualifications**
- Proven experience in logistics, coordination, or warehouse operations
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficient in Microsoft Office and scheduling/inventory software
- Detail-oriented with a focus on accuracy and follow-through
- Ability to work in a fast-paced, team-oriented environment
- Knowledge of billing, quoting, and warehouse best practices is a plus
**Reports Directly To**: Install Manager
Pay: $23.00-$25.00 per hour
**Experience**:
- logistics, coordination, or warehouse operations: 2 years (required)
- Microsoft Office and scheduling/inventory software: 2 years (preferred)
- Knowledge of billing and quoting: 2 years (preferred)
Licence/Certification:
- Driving Licence (required)
Willingness to travel:
- 100% (preferred)
