Job Role and Description

- The MOA ensures smooth daily office operations for both patients and professional staff, to optimize

quality in terms of timely access to care with a focus on outstanding customer service.

Job Hours
- Regular clinic hours: Monday, Tuesday, Wednesday and Friday 8:00am-5:00pm, and Thursday 12:00pm
- 8:00pm
- After-hours clinic: Two after-hours clinics 8:30am-12:30pm on Saturday and Sunday once every one to

two months
- Vacation and time off coverage for other front office support staff and nurses

Key

**Responsibilities**:
1. Daily Administrative Duties

a. Respectfully answers phones and returns messages; call patients when appointments need to be

cancelled and/or re-scheduled; triages and prioritizes the relay of messages promptly (by computer

message or in person accompanied by a paper chart).

b. Pleasantly greets patients during the scheduling and registration process, and when answering all

phone calls.

c. At every patient visit, ensures that patients present their health care and checks its validity.

d. Give forms/OCEAN tablet to patients to be filled out, and update the EMR with information as

needed

e. Schedules all patient appointments and all follow-up appointments for any reason; Uses Templates of

“Schedules” to optimize patient scheduling.

f. Schedule all patient referral/consult appointments as per physician’s direction

g. Ensures that the roster information of patient is up to date at time of appointment. Initiates further

forms for the physician roster if required. Ensures the EMR patient information such as address and

pharmacy of choice, next of kin is accurate. Ensures all forms (such as WSIB) are identified scanned

and tracked.

h. Responsible to pick up, distribute and send mail, shred material daily as required. Ensures that all

incoming documents (electronic or by FAX) are scanned appropriately to the Electronic Medical

Record (EMR) and or paper chart daily as required as required.

i. Accept deliveries and assist with stocking office supply delivery

j. Prepares, updates and returns paper patient charts as applicable.

k. Documents all communication with patients in the EMR and patient chart accurately and concisely at

the time of encounter.

l. Arranges for all prescription renewals and updates as per physician’s direction.

m. Collect, invoice, and process payments from patients

n. Completes third party billing as required

o. Adheres to all human resource policies. Maintains confidentially at all times.

p. Assists team Nurse(s) and co-workers with duties as required (e.g., laundry).

q. Assists with education and training of new staff as required.

r. Shares new ideas for process improvement at team meetings.

s. Monitors, tracks and records outcome indicators from CCO as directed, specifically Pap Smears and

Colonoscopies for both physicians.

t. Perform other duties as directed

2. Daily Clinical Duties

a. Pleasantly greets patients from the waiting room and take the patient to the examination rooms; ask

them for their reason of visit

b. Takes patients’ weight and other vital signs (blood pressure, heart rate, height), prepare infants

(weighting and measuring) and input values into EMR at all appropriate visits.

c. Assist team physicians as required with delegated duties such as injections, blood pressures,

sterilization of equipment (as trained and or certified to do so).

d. Preparation of exam rooms, maintenance, inventory, and assist with the supply order

e. Other clinical duties as required

London Lambeth Family Health Organization as an integral member of the healthcare team.

Qualifications and Skills
- Medical Secretary or Office assistant certificate/diploma or equivalent required.
- Three to five years of experience in a clinic and or family practice office preferred.
- Demonstrated knowledge of medical terminology required.
- Evidence of problem solving, and conflict resolution skills required.
- Demonstrates excellent organizational and communication skills required.
- Demonstrates effective listening and verbal skills required.
- Professional in attire required.
- Demonstrates flexibility to accept changes to areas of responsibility as required
- Demonstrates ability to maintain confidentially for all information pertaining to the work environment.
- Status on CPR, FIT Testing and other regulatory occupational health and human resource certifications.

Preferred at time of hire then required.
- Current police check at hire (within 6 Months) required.
- Must be adept in the use of Microsoft
