**Administrative Assistant (Part-Time, Contract)**
**Overview**
We are a busy private equity firm with a close-knit, fun team of professionals in a downtown office conveniently located within walking distance of SkyTrain. We are seeking a bright, enthusiastic, and flexible **Administrative Assistant** to join our team.
This is a **part-time, in-office contract role** with flexible scheduling of approximately 24 hours per week. Compensation will be in range of $25-$27/hour commensurate with experience.
**Primary Responsibilities**
Reporting to the Controller, this role will support the smooth day-to-day operation of the office. Responsibilities will include:
- **Document & Records Management**: Download and organize online statements, scan and file documents on the server; maintain tidy and organized digital and physical filing systems.
- **Office & Facilities Support**: Keep the office, kitchen, and meeting areas clean, organized, and well-stocked; serve as the point of contact for building management, cleaners, and service vendors; coordinate small office maintenance requests and IT/vendor support when needed.
- **Mail & General Administration**: Process incoming and outgoing mail, including scanning, distribution, and courier coordination; provide occasional reception coverage; run errands and handle ad hoc administrative tasks.
- **Finance & Expense Support**: Assist with preparation of monthly Amex and reimbursable expense reports; support routine clerical functions such as invoice processing, bank reconciliations, and billings; track and reconcile office expenses, supplies, and vendor invoices.
- **Events & Logistics**: Help plan and coordinate team lunches, meetings, and small firm events; support logistics for investor and board meetings (catering, meeting room setup, print materials).
- **Database & Light Systems Support**: Assist with maintaining investor database records; social media and website postings, coordinate with IT provider for new equipment setup and user support where needed.

- Strong interpersonal skills with the ability to work well with colleagues and external parties.
- High attention to detail and accuracy.
- Ability to work independently with mínimal supervision while showing initiative and sound judgment.
- Excellent organizational and time management skills.
- Professionalism and discretion in handling sensitive or confidential information.
**Qualifications**
- Minimum of two years of office experience.
- Proficiency in Microsoft Office (Outlook, Word, Teams, Excel).
- Authorized to work in Canada.

Pay: $25.00-$27.00 per hour
