**SUMMARY OF DUTIES**

Reporting to the Business Development Consultant—Tourism, the Tourism Program Coordinator will be responsible for coordination and support functions for business development, major tourism projects, industry partners, and key programs that support the City of Hamilton’s tourism strategy.

**GENERAL DUTIES**

Support Business Development Consultant on major tourism projects through research, coordinating meetings with stakeholders, information gathering, and reporting.

Managing contact databases and correspondence lists for tourism working groups and industry partners.

Data and research support, including administering the attraction data partnership, support managing various data sources, disseminating information to relevant partners monthly/quarterly/annually, and reporting.

Schedules appointments and arrange meetings, responds to inquiries, meet and greet unscheduled and scheduled clients with appointments, including the preparation and distribution of agendas, minutes and other materials, booking meeting rooms, arranging set-up of audio-visual equipment and food/beverages as required.

Assists with delivering the Tourism Orientated Directional Signage (TODS) program. Including contracts, communicating with Finance, and coordinating with Public Works on new sign/removal requests.

Works with Business Development Consultant, Manager Tourism & Events, and other staff to ensure that processes align with appropriate legislation, corporate policies, Council directions, and sectoral best practices.

Assists in the design, set up and implementation of processes for the accurate and efficient management of information and data to support decision making.

Maintains a policy and procedures manuals to document and support operations as required.

Communicates with a range of stakeholders to ensure that programs and information are communicated as required.

Provides back up administrative and clerical assistance when needed to Tourism & Events staff.

Works in accordance with the provisions of applicable health and safety legislation and all City of Hamilton corporate and departmental policies and procedures related to occupational health and safety.

Performs other duties as assigned which are directly related to the major responsibilities of the job.

**QUALIFICATIONS**
- Demonstrated experience in the area of tourism, preference will be given to those who hold a college diploma or university degree in Tourism, Hospitality, Business Administration, Marketing, Event Management, or a related field. Equivalent combinations of education and experience may also be considered.
- Good working knowledge of the tourism sector and municipal experience will be an asset.
- Must possess excellent grammar and spelling skills, report writing, communication, time management and organizations skills.
- Strong customer service skills and demonstrated ability to interact professionally with tourism industry partners, management, elected officials, city departments and city staff, customers and clients and the general public with an acute sense of confidentiality and judgement.
- Must possess initiative, good judgment and the ability to provide guidance and take a leadership role when necessary.
- Must possess excellent computer skills with above average working knowledge of Customer Resource Management Systems, Microsoft Office Software (Microsoft Outlook Word, Excel, and PowerPoint).
- Will be required to work evenings and weekends on occasion as job requires.
- Preference will be given to applicants with progressive experience in a tourism industry office environment.
- Ability to effectively communicate and interact with Manager, other staff, contractors, internal and external clients in both written and verbal form.
- Experience and the ability to organize and prioritize multiple tasks/assignments in order to meet deadlines.
- Demonstrated ability to work independently and in a team environment,
- Must be able to travel to multiple locations in one day.
