Invermere, Canada Family Dynamix Association Full time

Provide receptionist, clerical and secretarial support to the Executive Director, Director of Program Management, program counsellors and coordinators.

Operating Responsibilities

1. Reception duties:

- Answer the telephone; take and direct messages.
- Greet and direct clients and visitors to the centre; provide information about Family Dymanix Association’s services, and other community resources as necessary.
- Schedule appointments for the counsellors and intake coordinator as required, and maintain conference room bookings.
- Collect and open incoming mail and direct to appropriate persons. Ensure outgoing mail is delivered to the post office.

2. Clerical and secretarial duties:

- Ensure filing is up to date and that the filing system is well organized.
- Type and photocopy work prepared by the Executive Director, Director of Program Management and other office staff as required.
- Order office supplies on approval of the Executive Director and/or Director of Program Management.
- Maintain well-stocked, presentable front-end pamphlet racks by tidying, sorting and
ordering as necessary.
- Ensure that the system for backing up computer hard drives is followed on a daily,
weekly and monthly basis.
- Record all donations and provide receipts.
- Attend to other duties as may be requested by the Executive Director,
Director of Program Management or Director of Finance.

3. Administrative duties:

- Assist in the administration of Family Dymanix Association’s memberships by: completing procedures for new members, keeping the computer data base up to date, and monitoring fee payment.
- Assist in the administration of the resource library by: handling loans and returns
as required, monitoring overdue materials, and sending overdue notices and
invoices to delinquent borrowers.

**Job Type**: Casual

**Salary**: $22.05 per hour

- Secondary School (preferred)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
