Bid Board Coordinator
Overview
As the first point of contact for many of our customers, the Bid Board Coordinator plays a key role in delivering a professional, responsive experience.
Key Responsibilities
- RFQ Management: Receive and process all RFQs (Requests for Quote) from the estimating inbox promptly to ensure customer deadlines are met.
- Project Setup: Enter new bid opportunities into project management software, enabling estimators to begin preparing quotes.
- Document Control: Accept, update, and distribute addendums or scope changes received via OneDrive, Dropbox, Procore, or other platforms.
- File Organization: Collect, organize, and digitally file all bid-related documents and communications for accurate, efficient quoting.
- Communication: Professionally correspond (both written and verbal) with internal teams, management, and customers as needed.
- Triage Requests: Redirect inquiries unrelated to bids, tenders, or RFQs to the appropriate team.
- Drawing Distribution: Occasionally print and distribute mechanical drawings.
- Administrative Support: Perform other duties as assigned by management.

**Qualifications**:

- High school diploma (or equivalent) required; 1+ years of experience in an administrative support role preferred.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Word, Excel, Outlook, and PDF tools; comfortable working with cloud-based platforms such as OneDrive, Dropbox, and Procore.
- Highly organized with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Self-motivated, reliable, and capable of working with mínimal supervision.
- Professional demeanor with a proactive, solutions-oriented mindset.
