**The Sales Coordinator** is responsible for supporting the Sales Manager & Assistant Director of Sales & Marketing. **The Sales Coordinator** completes all administrative & catering duties to fulfill the needs of the Sales & Catering Department.

**Team**
- Provide assistance to the Sales Manager & Assistant Director of Sales & Marketing
- Provide support to the sales team in executing contracts, proposals, and correspondence
- Manage all bookings for Sales Team once contracts have been signed
- Assist as needed with hotel and sales related functions, parties and blitzes
- Create, organize and maintain account files, including master files and day files for all SMERF, Corporate, Association and Social Media Groups
- Create Regional Databases for any category for Sales Managers to follow up on
- Assist with Influencer requests (first steps, research, getting POV’s from Ripley’s)
- Prepares Event Signage
- Managers Meeting Space bookings
- Responsible for submitting all Hotel Planner and Event Connect RFP’s

**Guest**
- Maintain relationships with current accounts.
- Make changes to existing group accounts as required, including date changes, room additions, room type upgrades, catering inquiries etc.
- Assist in sending out all PPC Account Sales and Flyers to current database
- Creates all Group Booking Flyers
- Prepare all group resumes and Sales Team BEO’s
- Provides reporting to the department on outstanding groups in OPERA system (proposals, outstanding contracts, rooming lists and deposits due). Follow up with each group to ensure all the above are in and on time.
- Organize group packages, including designing signage, meal vouchers, drink tickets, and other amenities for all groups.
- Loads all group rooming lists into OC and relevant packages (i.e. Inclusive Meals, Passes)
- Assigns all group room numbers and group posting master account numbers
- Ensure guests are greeted and acknowledged consistently, adhering to the 10/5 Rule. Communicate with guests in a professional and friendly manner

**Financial**
- Prepare all group invoices and updates as required
- Assist Accounting with any billing issues
- Assist Revenue with Reservation ADV deposits
- Assist Revenue with Room upgrades to balance inventory when required

**Qualifications**
- Previous experience in a hotel sales or administrative role is preferred
- Strong written and verbal communication skills
- Basic administrative knowledge such as business letters and telephone etiquette
- Detail-oriented with excellent organizational skills
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint)
- Knowledge of hotel management software (PMS, CRM) is a plus
- Ability to work independently and as part of a team
- Excellent time management skills and ability to prioritize tasks
- A positive and professional attitude, with a passion for delivering excellent customer service

**Physical Requirements**
- Lift up to 10 lbs., sit and/or stand for long periods.

**Additional Requirements**

A completed police clearance is to be submitted. Newly hired Pack Members are required to provide a completed police clearance to the Human Resources Department. In most cases, the Pack Member will be starting employment prior to the employer’s receipt of the results of a criminal record check, based on the Pack Member’s assurance that they have never been convicted of a criminal offence for which they have been pardoned. If the results of the check are unacceptable, the employer shall be entitled to terminate the Pack Member’s employment by providing them with the minimum notice, if any, required under the Employment Standards Act, 2000 and other notice or compensation whatsoever shall be required to apply. The vulnerable sector check must be completed as Pack Members come into contact with vulnerable persons (including children, the disabled or persons in a position of dependence of others) who are at a greater risk of being harmed than the general population.
