**About the Role**

Reporting to the Project Manager, the Project Site Administrator is responsible for providing project administrative support including assisting with coordinating site onboarding documentation and requirements, booking orientations and training, supporting time entry and LEMS submission, assisting with document control activities.

**This position is site based on a 4on/3off shift, 10 hour days - Port Hope (shift rotation may change as project progresses).**

**As a Project Site Administrator at Graham, you will**:

- Provide site administrative support
- Assist with timekeeping entries and creation of regular LEMS reporting, in line with owner requirements, and compliant with union agreements and labour standards
- Assist with goods and materials receiving
- Assist with general transactional accounting processes and month-end procedures
- Support Project Management and Accounting teams with the administration of progress billings
- Control of new and revised documents; ensuring all current approved documents are available and maintained and are accurate in description; ensure quick, accurate retrieval of information
- Administer and maintain the document control management process in accordance with policies, procedures, and Clients' standards: issuing, receiving, and distributing all documents, filing, archiving all incoming and outgoing documentation (hard and electronic copies)
- Distribute all documents to all required team members
- Become an expert user in the use of web-based document control systems, (as required by the clients) including training users and assisting outside organizations (when necessary)
- Print all RFQ’s, RFP’s, PA’s, addendas etc
- Build effective work relationships with Operations
- Be dedicated to meeting the expectations and requirements of internal and external stakeholders and ensures positive relationships are maintained
- Demonstrate good communication skills with project stakeholders, and seeks guidance as required
- Establish honest, open, trusting relationships with team members
- Bring energy and perseverance to the pursuit of goals and follows through on commitments
- Demonstrate an understanding of, and commitment to, Graham’s values and the Operations Accounting functional strategy

**Qualifications/experience**:

- High School graduate, Administration Diploma or equivalent experience
- Prior document control experience in construction industry
- Previous document control experience an asset
- Accuracy and attention to detail is required
- Demonstrate developing verbal and written communication skills
- Good formatting, grammatical, word processing and spreadsheet skills using MS Office (Word, Excel, Outlook, PowerPoint, Visio
- Deadline oriented
- Accurate data entry skills required
