The Role
The Grants Coordinator helps drive the efficient operations of the Foundation office, and contributes to the overall success of its grantmaking. They provide essential administrative support to the Foundation and its programs across various Committees and initiatives. This role represents a pivotal mainstay of the Foundation and is often the first point of contact for many of its partnering grantee organizations.
The Grants Coordinator will also contribute to key support functions including data storage efficiencies (e.g. Smart Simple/SharePoint management) and advisor management across the Foundation.
Key Responsibilities:
Program Coordination
- Oversees individual grants within various committee portfolios to ensure effective oversight and accountability, including: liaising with grantees, executing agreements and amendments, and tracking grantee submissions (e.g. reports and budgets)
- Contributes to the development of granting program processes, report prototypes, and generates reports as required
- Supports accounting processes, including payment approval and tracking
General Administration
- Prepares templates, routine letters, and other communications
- Organizes and prepares materials for Committee and other meetings, including: agendas, proposals, briefings, grantee updates, recommendations, and financial reports
- Takes minutes during Committee or other meetings
- Assists in tracking and reporting financials (e.g. quarterly expense and donation reports)
- Tracks deadlines, including for committee work, RSVPs, invitations, etc.
- Updates planning calendars
- Support and involvement with special projects, as required
- Reporting to the Operations Manager, work closely and collaboratively with team of Grants Coordinators, as well as other Foundation staff (including Program Directors and Managers)
Qualifications:
- 2-5 years of similar or relevant experience with preference for grants administration and reporting
- Demonstrated experience with numbers and numerical analysis required
- Communications, marketing, outreach, or public relations experience is an asset
- Works well independently and within a team environment
- Excellent written and oral communication
- Experience with document design and editing
- Adaptable and flexible individual with a demonstrated ability to work in a fast-paced environment and juggle multiple priorities
- Proactive and action-oriented personality; strong sense of pace and urgency
