Metro Compactor Service is looking for an experienced Projects Administrator to join our team This enthusiastic individual will be responsible for a diverse set of tasks that are essential to the smooth functioning of our office and projects operations. We are looking for someone who has excellent organizational skills, attention to detail, must be able to prioritize and can communicate with staff and customers in a respectful and professional manner. They must be able to work independently when needed.

**Duties and Responsibilities**:
**1.** **Project Administration**
- Set up project folders with progress bill dates and update project status labels
- Confirm and adjust ship to/bill to information in M360 as appropriate
- Maintain proper organization of project documentations in projects folder
- Prepare open and close out documents
- Obtain Certificate of Insurance as required and update files with current WSIB certificate
- Obtain site sign-offs and contact sites to confirm readiness for installations
- Set up preventative maintenance information and warranty sites in Company management system
- Update projected monthly revenue

**2.** **Billing, Invoicing & Financial Transactions**
- Prepare invoicing summaries and progress draw reports with all necessary paperwork
- Set up schedules of values for billing sites
- Prepare/release hold back invoice and collect on past due invoices
- Using accounting software, recommend accounts to be placed on credit hold
- Manage credit holds in Metro360 and communicate to appropriately
- Collaborate with accounting team to collect past due invoices
- Collaborate and investigate with accounting team and customers to resolve invoice discrepancies

**Qualifications**:

- Proven experience in business administration and billing
- Experience in manufacturing or construction industry, along with experience in accounting is an asset
- Must have exceptional communication skills, both written and verbal
- Must be a self-manager who is organized, and detail-oriented
- Strong knowledge of Microsoft word, excel and other Office software
- Demonstrated ability to identify problems and implement solutions with little to no supervision
- Demonstrated ability to manage conflicting priorities and meet tight deadlines
- High level of integrity, confidentially, and accountability
- Strong work ethic and positive team attitude

**Schedule**
- IN-OFFICE: Monday - Friday: 8:00 AM - 4:30 PM
