Located on the shores of Georgian Bay, we serve some of the most complex and disadvantaged individuals in Ontario and are the sole provider of high-secure forensic mental health services in the province.
The Director of Procurement & Materials Management is currently seeking a full-time Materials Management Clerk. The purpose of this role is to: perform clerical and manual work in Receiving/Shipping and or Stores/CSR areas, including storage, shipping and inventory control functions for various supply stockrooms throughout the hospital; unloading, inspections and documentation to established standards; packaging, documentation, and carrier contact; receiving goods ordered via procurement cards for client programs and for individual clients; storing and arranging for disposal of hospital hazardous waste.

**KEY ACCOUNTABILITIES**:
- Coordinating multiple stockroom operations by receiving, maintaining and distributing goods and supplies. Ensuring acceptable levels by taking inventory and monitoring stock levels physically and through the system to ensure, quality, cost and usage and recommend changes to stakeholders.
- Ordering stock from vendors as required based on usage and min/max levels.
- Receiving goods for all hospital purchases, client programs and individual clients by ensuring trailers are docked and secured to meet safety standards, by unloading goods from trailers, by inspecting and counting of goods, by verifying Material Safety Data sheet is available for goods when required, by matching goods to purchase orders, by witnessing documentation, noting any discrepancies, by contacting person/department ordering goods to arrange for pick-up, and by ensuring that goods not picked up are secured in off hours.
- Processing goods from couriers, unloading shipments, checking incoming materials and supplies against packing slips for shortages, damages, errors, and substitutions. Fill in where necessary to ensure delivery and acceptance of goods and supplies.
- Shipping hospital goods by packaging and addressing shipments, by completing and witnessing documentation, by contacting carriers for pick-up, by shipping intra-hospital CSR, mail, housekeeping, dietary and stores supplies and by completing requirements for the Transportation of Dangerous Goods.
- Storing & Disposing hazardous waste by using approved infection control precautions to receive hazardous waste from hospital departments, by placing waste in appropriate containers and securing until pick-up, and by completing and witnessing Ministry of Environment documentation for waste shipments.
- Updating the system by recording and monitoring the receipt, storage and movement of goods and supplies and recommending improvements/modifications to the database inventory procedures to improve efficiencies and reduce costs and increase inventory turns.
- Performing all work at all times in compliance with all hospital policies and procedures and legislation (Occupational Health &Safety Act, Fire Code, WHMIS, etc.) relevant to health and safety, security (including relational/therapeutic security) and potential risk hazards, and in particular, “duties of the worker” as defined in Section 28 of the OH&S Act.
**REQUIREMENTS/QUALIFICATIONS**:
- Training and certificate in: Transportation of Dangerous Good (TDG)
- Forklift operation as per M.O.L. guidelines
- safe operation of lifting devices to Occupational Health & Safety Act Regulations and WHMIS to OHSA regulations
- Supply Chain Management courses preferred (e.g. Inventory management)
- Physical ability to lift up to 40 pounds without an assistive device, climb ladders, lift overhead, push/pullcarts.
- Basic math skills in order to reconcile receipts.
- Analytical skills in checking incoming goods against packing slips and purchase orders for correct quantity, acceptable quality, loss or damage; identifying and preventing safety risks concerning stock layout, e.g. unbalanced stacking.
- Problem solving skills in rearranging schedules and workload to meet fluctuating priorities
- Oral communication skills to explain procedures to clients and suppliers regarding the processing of goods and supply requests, to answer inquiries, explain processes and liaise with hospital staff.
