The Executive Assistant is responsible for providing a wide variety of administrative services ranging from complex to routine, all which contribute to the efficient and professional operation of the Summit Nanotech executive team. The position will require an appreciation for and understanding of protocol, discretion, professionalism, and acceptance of responsibility.
This position will require an individual who is highly organized and can interpret and make decisions in accordance with prescribed procedures and practices of the company. To provide effective and efficient service it is expected that the incumbent will need to be flexible in terms of hours of work and maintain confidentiality, diplomacy and tact at all times.
**Duties & Responsibilities**
- Provide professional administrative support to the CEO or assigned executive team member through proactive development and preparation of correspondence, presentations, and reports.
- Proactively assist with the daily calendars through effective scheduling and rearranging of meetings and appointments including booking of boardrooms.
- Proactively arrange and coordinate logistics and catering for meetings, travel, and other events.
- Coordinate, prioritize and track distribution of mail and incoming electronic information.
- Prepare and submit detail expense reports.
- Interpret and present large amounts of data in user friendly manner such as graphs and charts.
- Strong comfort with managing social media platforms.
- Participate on various executive sponsored committees as required.
- Plan and co-ordinate offsite meetings, group, project, and team events (ensure all materials are organized in advance of the meeting or event.)
- Be an ambassador for new technology and processes and be eager to engage in continuous learning and development.
- Assist with various projects as required.
- Other duties as required and assigned.
**Skills & Qualifications**
- High school diploma complemented with post-secondary education. A diploma in Office or Business Administration would be considered an asset.
- 5 or more years of progressive administrative experience including several years supporting or interacting at an executive level.
- Previous experience planning and coordinating events would be considered an asset.
- Ability to communicate in Spanish (both verbal and written) would be considered an asset.
- Demonstrated ability to perform maturely and professionally ensuring complete confidentiality of sensitive and confidential information.
- Demonstrated ability to manage and perform effectively under conditions of high workload.
- Superior organizational skills, interpersonal and communication skills.
- Demonstrated ability to effectively manage multiple and shifting demands and priorities.
- Demonstrated ability to perform effectively, ensuring complete accuracy, under tight deadlines and with mínimal supervision.
- Demonstrated ability to think critically, act logically to evaluate situations, solve problems and make decisions.
- Strong verbal and written communication style that reflects the ability to work with a wide range of executives, leaders and external stakeholders.
- Demonstrated ability to collaborate and build relationships.
- Superior knowledge to proofread, edit and provide quality control of grammar, formatting, and spelling on documentation.
**Location & Commitments**
This role will primarily be located at Summit’s headquarters in Calgary, AB. During peak periods, work outside of normal business hours (including evenings and weekends) will be required.
