We’re serious about building strong systems so our teams can deliver a consistent, high-quality experience for our customers We're looking for a **Systems Development & SOP Coordinator** to work side-by-side with our Systems Manager to **design, build, and roll out better systems across the company**. This is a **full-time, in-office role in Edmonton.**

- **What You’ll Do**_

Reporting to the Systems Manager, you will help **build the systems foundation** of Burly Boyz:
1. Design & Build New Systems
- Work with the Systems Manager and department heads to **understand how work is done today** (operations, logistics, customer service, sales, billing, etc.).
- Identify gaps, breakdowns, and inefficiencies in current processes.
- Help **design new or improved workflows**:

- Define steps, responsibilities, handoffs, and triggers.
- Think through edge cases and exceptions.
- Translate these designs into **practical, usable systems** (checklists, templates, workflows, automations where possible).
- Introduce new tools and software for our departments to leverage.

2. Create High-Quality SOPs & Documentation
- Turn system designs into **clear, easy-to-follow SOPs**, playbooks, and checklists.
- Standardize formats and naming so documentation is consistent and easy to navigate.
- Maintain and update the SOP library as systems evolve.

3. Implement, Monitor & Improve
- Support the rollout of new systems. Run small group walkthroughs and 1:1 explanations. Collect feedback from the people using the systems every day.
- Monitor the new systems and identify bottlenecks, redundancies and inefficiencies.
- Reducing errors, delays, and headaches.
- Compile **data and feedback** and help **refine and iterate**.

4. Use AI/LLMs as a Force Multiplier
- Use tools like ChatGPT, Claude, and Gemini.
- Draft and refine SOPs, workflows, policies, templates, and training materials.
- Generate options for improvement and compare different process approaches.
- Write **strong prompts** that produce accurate, detailed, and relevant output.

- You enjoy taking something messy and asking: “What’s the best way this _could_ work?”
- You’re **detail-oriented and a problem solver**- you understand the departments objectives and design systems to help them achieve their goals.
- You’re comfortable working with a wide range of people: movers, drivers, office staff, and managers.
- You regularly use **AI tools**and are confident you can get high-quality drafts and ideas out of them.
- **Skills & Experience We’re Looking For**_

**Must-haves**:

- Eagerness to grow with us and learn our company, core values and objectives.
- Hands-on experience **designing or improving processes**, not just following them. Examples: building a new workflow, redesigning a process to fix recurring issues, implementing new checklists or systems.
- Strong **SOP and documentation skills**. Can write clear, step-by-step instructions and supporting materials.
- Very strong **communication skills** (written and verbal) in English.
- Comfortable with Word/Google Docs and Excel/Google Sheets. Learning and implementing new software tools (dispatch, CRM/booking, accounting, time tracking, etc.).
- Proven use of **LLMs (ChatGPT, Claude, Copilot, etc.) in real work**, especially for documentation, analysis, or system design support.

**Nice to have**:

- 2-5 years of experience in roles such as Operations Coordinator, Process/Business Analyst, Office Manager, Executive Assistant, or similar.
- Experience with **process mapping** tools (Lucidchart, Miro, Draw.io, etc.).
- Exposure to **continuous improvement** or quality concepts (Lean, Six Sigma, etc.).
