Cadence is a fast-growing tech company that helps people navigate life after losing a loved one. As a small, mission-driven team of 10-15 people, we are looking for an Executive Assistant who can support our Founder & CEO by managing administrative tasks, optimizing her workflow, and ensuring she can focus on high-impact strategic initiatives.
This role is ideal for someone who thrives in a start-up environment, enjoys solving problems proactively, and excels at keeping things organized and efficient. If you have strong technical skills, excellent time management, and a knack for anticipating needs, we would love to hear from you.
What You Will DoAdministrative & Calendar Management
- Maintain and optimize the CEO’s calendar, scheduling and rescheduling to ensure no conflicts.
- Prepare meeting agendas, take notes, and follow up on action items.
- Coordinate travel arrangements, including flights, hotels, and transportation.
- Organize digital files, documents, and company records for easy access.
Business Operations Support
- Track key projects and deadlines using ClickUp (or similar project management tools).
- Maintain CRM (HubSpot), ensuring customer and sales data is accurate and up to date.
- Assist with HR and recruiting by posting job listings, scheduling interviews, and managing onboarding checklists.
- Help with finance tasks such as expense tracking, reconciling receipts, and preparing reports.
- Improve internal processes and identify ways to streamline efficiency.
Communication & Relationship Management
- Act as a liaison between the CEO and investors, board members, clients, and the internal team.
- Draft internal and external communications on behalf of the CEO.
- Plan and coordinate team meetings, company events, and networking opportunities.
Personal & Work-Life Balance Support
- Help prioritize the CEO’s time, blocking out focus hours and scheduling deep work sessions.
- Assist with personal errands and scheduling personal commitments if needed.
Special Projects & Research
- Conduct market research and gather insights on industry trends, competitors, and new opportunities.
- Build reports, presentations, and strategic documents to support decision-making.
- Research and implement new tools and systems to optimize workflow.
What We Are Looking ForRequired Skills & Experience
- Three or more years of experience as an Executive Assistant, Operations Coordinator, or similar role.
- Strong proficiency in HubSpot CRM (or similar CRM tools).
- Experience with ClickUp or project management tools.
- Advanced skills in Google Workspace (Docs, Sheets, Drive, Calendar, Gmail).
- Comfortable using Apple computers and macOS.
- Excellent written and verbal communication skills.
- Highly organized, detail-oriented, and proactive in problem-solving.
- Ability to manage multiple priorities, meet deadlines, and stay one step ahead.
- Strong discretion and confidentiality in handling sensitive company and personal matters.
Preferred Education & Training
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Executive Assistant certification or administrative training (CAP, PACE, or similar) is a plus.
- Experience in a start-up or fast-paced tech environment is a strong asset.
