**The role** We are looking for an Operations Associate who will work directly with the VP of Operations and leadership team to support day-to-day activities at the studio. You will maintain a pulse on several creative projects, R&D activities, and their development teams. You will participate in production meetings, client outreach, business development, and generally help shepherd our work into successful experiences. To accomplish all of this, you will assist in the coordination of people, equipment, travel, and project milestones. You will report to the VP of Operations. **What you bring** You’re self-motivated and have an interest in immersive media, video games, virtual reality and themed-entertainment. You’re organized and love being task-oriented, crossing items off your list as you go and rigorous at following through to completion. You thrive in a dynamic and creative team environment having to constantly context switch from task to task. **Core Requirements**:* - **Executive Support**: Provide high-level operations & administrative support to studio leadership, including managing calendars, scheduling meetings, and prioritizing tasks. - **Travel Coordination**: Organize travel arrangements, accommodations, and itineraries for leadership, team members, and studio visitors for events, conferences, or business trips. - **Meeting Coordination & Agenda Management**: Schedule and coordinate internal and external meetings, with clear agendas, materials, and follow-up action items. - **Document Management**: Organize and maintain studio documents, contracts, and creative assets in accordance with studio protocols. Ensure confidentiality and secure handling of sensitive information. - **Project Management Support**: Assist in tracking progress of both studio-level and project-level tasks in Jira and assign new tasks as identified, ensuring timelines and deliverables are met. - **Event Planning & Coordination**: Organize studio events such as team-building activities, launch parties, game premieres, or external industry events (e.g. IAAPA). Coordinate event logistics, planning meetings, and promotional materials. - **Team Liaison & Office Coordination**: Support team members with administrative requests, help streamline communication within the studio, and organize office resources or equipment. - **Confidentiality & Discretion**: Handle confidential and sensitive information with professionalism, including unreleased immersive experience and game details, financial data, and executive communications. - **Office Management Support**: Ensure the smooth running of day-to-day office operations, from coordinating with IT for technical support to overseeing equipment, office supplies, maintaining facilities, or arranging for visiting contractors. - **Ad Hoc Leadership Assistance**: Handle various ad hoc tasks as needed by studio VPs & leadership, such as coordinating special requests or handling unique project needs. - **Technical & Industry Interest**: Have a passion to learn and grow within a highly technical and specialized development team, with an opportunity to have hands-on access to industry-leading technologies in immersive entertainment, virtual reality and AI. **Preferred Skills & Traits**:* - A passion for video games, immersive entertainment, virtual reality experiences and theme parks. - Project Management software (Atlassian Jira & Confluence) - Presentation and visual collaboration software (Powerpoint, Google Slides, Miro) - Spreadsheets (Excel, Google Sheets, Smartsheet) - Professional writing & documentation - File Management (Google Drive) - An awareness of software development practices such as version control (eg, Github, Perforce), code reviews, sprint planning, etc. - An awareness of development tools used in the video game and themed entertainment industry, such as Unreal Engine, Unity, Maya, Blender, etc. - An understanding of provincial and federal grant programs and initiatives. - Experience, or an understanding of IDMTC and SR&ED claims. **About Hololabs** In 2025, we will continue our work with clients in theme parks, virtual and augmented reality and immersive art while developing our own games and experiences. **We Are an Equal Opportunity Employer** We are dedicated to fostering an inclusive and diverse environment for employees from all walks of life.
