**Job Overview**:
The Facilities Manager ensures the operational integrity, safety, and functionality of 15 licensed childcare centres leased from the City of Vancouver or rented from the Vancouver School Board. This role manages tenant-maintained areas such as interiors, playgrounds and systems. Responsibilities include custodial oversight, supervision of two maintenance employees, collaboration with external contractors, coordination of repairs and maintenance activities, licensing compliance and emergency response.
**Responsibilities**:
**1. Facilities Oversight and Maintenance**:
- Manage upkeep of furnishings, finishes, and tenant systems.
- Ensure properties are maintained in accordance with both lease terms and organizational standards.
- Track landlord-managed repairs and follow up to ensure resolution.
- Coordinate tenant-responsible repairs and upgrades.
**2. Health, Safety and Licensing Compliance**:
- Ensure adherence to BC Child Care Licensing Regulation and WorkSafe BC.
- Conduct inspections to assess site readiness and licensing compliance.
- Respond to regulatory inspections and maintain corrective action records.
- Support emergency preparedness and health and safety reviews.
**3. Capital Projects and Facility Improvements**:
- Coordinate tenant-led upgrades
- Collaborate with City of Vancouver staff and property managers on larger capital projects.
- Represent childcare needs in infrastructure or site improvement discussions.
**4. Online Facility Management System (FMS)**:
- Manage and train staff on the FMS for tracking, repairs and inspections.
- Maintain clear and accurate facility records.
**5. Landlord Coordination and Lease Compliance**:
- Act as primary liaison with the city and landlords.
- Interpret and document lease responsibilities.
**6. After-Hours Emergency Response**:
- Act as primary on-call contact for after-hours emergencies (e.g., break-ins, floods, alarms, outages).

7. Team Leadership and Contractor Management
- Train, supervise, and support maintenance personnel.
- Manage service contracts, assign tasks, and evaluate performance.
**8. Budgeting and Administration**:
- Assist with budgeting and monitor facility-related expenses
- Maintain documentation for leases, repairs, inspections, and compliance.
- Support the development of tools and resources for staff (e.g., policies, checklists).
**9. Relationship Building and Communication**:
- Foster strong, collaborative relationships with staff, contractors, and partners.
- Support positive interactions with families and children on-site.
- Support special projects and perform related duties as needed.
**Education and Experience**:
- Minimum 5 years of experience in multi-site facility operations or property management.
- Experience working with public landlords or municipalities.
- Experience in similar regulated environments (eg. Health, education) is an asset.
- Diploma or certificate in Facilities Management, Operations, or a related field.
- Valid Class 5 driver’s license and access to reliable transportation.
**Knowledge and Skills**:
- Strong organizational, planning, and communication skills.
- Proficiency with facility management systems and Microsoft Office.
- Multi-site coordination and operational planning.
- Clear and proactive communication
- Accountability, professionalism, and responsiveness in emergency situations

**Terms of Employment**:
- $78,000 per annum including a comprehensive benefit program.
