***INTRODUCTION**

The Registration & Membership Services department assists applicants with the registration process and policies; assesses their eligibility; performs their credentialing; and issues and renews certificates of registration.

**Responsibilities**:

- Provides administrative support for the Registration Committee including: scheduling meetings, ensuring quorum is met, making other meeting arrangements (preparation of electronic agendas, claim forms, photocopying, setting up meeting room, catering, parking and security), providing IT support during meetings, and providing information about relevant statutes and regulations
- Prepares, cover sheets, and agendas for Committee meetings
- Attends meetings and drafts minutes from Committee decisions
- Arranges for appropriate College staff to attend Committee to present physician-specific cases
- Uses Solis to manage the work of the Committees, including conflict screening, recording Committee decisions, meeting dates, Committee members, etc.
- Provides Records Management and Archive Coordination including:

- Collection of confidentiality undertakings and Bring your Own Device Undertakings
- Management of meeting records in Vault
- Coordinates the collection of information for ad hoc administrative and/or Committee projects
- Prepare submissions to HPARB for appeals of Registration Committee decisions
- Prepare onboarding meeting/orientation for new committee members and PARO representative
- Performs other duties, as necessary

**Qualifications**:

- Minimum Grade XII with 2 years comprehensive experience in an office environment - Post-secondary education preferred.
- Excellent communication abilities (both verbal and written)
- Excellent organization skills, with particular attention to detail, for high volume environment
- Proven experience in working with multiple priorities and deadlines
- Ability to take minutes and capture meeting discussions succinctly
- Ability to be creative in recognizing improvement opportunities and adapting office systems
- Ability to be self-directed, independent, and contribute to a team environment
- Familiarity with medical terminology and the Regulated Health Professions Act is an asset
