**Role and Responsibilities**:
The Construction Project Coordinator plays a vital role in supporting the construction project management team and facilitating the smooth execution of construction projects. They provide administrative, logístical, and coordination support to ensure project activities are effectively organized and executed. The project coordinator collaborates with various stakeholders, including project managers, subcontractors, suppliers, and clients. Their primary responsibilities include:
**Project Documentation and Communication**:
- Assist in preparing project documentation, including contracts, permits, and project plans.
- Coordinate and distribute project-related documents to stakeholders.
- Maintain project files and records, ensuring they are organized and up to date.
- Schedule and Resource Coordination:
**Assist in developing project schedules and timelines.**
- Coordinate with subcontractors, suppliers, and internal teams to ensure timely delivery of resources and materials.
- Monitor project progress and update schedules as required.
- Communicate any schedule changes or delays to relevant parties.
- Procurement and Supply Chain Management:
**Assist in sourcing and procuring materials, equipment, and services for the project.**
- Obtain quotes, compare prices, and negotiate with suppliers to ensure cost-effective procurement.
- Coordinate the delivery of materials and equipment to the project site.
- Maintain inventory and track the usage of materials and equipment.
- Quality Control and Inspections:
**Support the implementation of quality control procedures on the project site.**
- Assist in conducting inspections to ensure compliance with project specifications and standards.
- Document and report any quality issues or non-compliance observed.
- Coordinate with relevant parties to address and resolve quality-related concerns.
- Change Order Management:
**Assist in processing and documenting change orders.**
- Coordinate with project team members and stakeholders to assess the impact of change orders on the project scope, schedule, and budget.
- Maintain change order logs and track their status and resolution.
- Meeting and Event Coordination:
**Schedule and coordinate project meetings, including preparing agendas, circulating meeting minutes, and tracking action items.**
- Arrange for site visits, inspections, and client meetings as required.
- Coordinate logistics for project-related events or workshops.
- Safety and Risk Management:
**Support the implementation of safety protocols and ensure compliance with safety regulations.**
- Assist in identifying and documenting potential risks and hazards on the project site.
- Contribute to the development and implementation of risk mitigation strategies.
- Budget and Cost Monitoring:
**Assist in monitoring project expenses and tracking budget performance.**
- Review invoices, purchase orders, and payment requests for accuracy and compliance.
- Maintain financial records and assist in preparing project cost reports.
**Daily Expectations**:
- Coordinate project activities and tasks.
- Communicate with project team members, subcontractors, and suppliers.
- Review project documentation and update records.
- Assist in scheduling and resource coordination.
- Support procurement activities.
- Monitor project progress and update schedules.
- Coordinate meetings and events.
- Maintain safety and quality control standards.
- Assist in budget monitoring and cost tracking.
**Key Performance Indicators (KPIs)**:
- Project Documentation Accuracy: Percentage of project documents accurately prepared and maintained.
- Schedule Adherence: Percentage of tasks completed according to the project schedule.
- Procurement Efficiency: Timeliness and cost-effectiveness of material and equipment procurement.
- Change Order Processing Time: Average time taken to process change orders.
- Meeting Effectiveness: Feedback and ratings on the efficiency and organization of project meetings.
- Quality Control Compliance: Number of non-compliance issues identified and resolved.
- Safety Incident Rate: Number of safety incidents or accidents on the project site.
- Cost Tracking Accuracy: Accuracy of project cost tracking and reporting.
- Stakeholder Satisfaction: Feedback and ratings from project team members, subcontractors, and clients.
- Timely Reporting: Adherence to deadlines for project reports and documentation submission.
