Concord, Canada Varcon Construction Corp. Full time

**Objectives**:
Provide general administrative/ Accounting support at Head Office. Perform all functions and responsibilities in accordance with Varcon’s values and beliefs.

**Essential Functions/Responsibilities**:
1. Promptly answer and correctly forward calls as well as provide friendly and professional greetings to all visitors.

2. Manage and monitor reception area at all times and answer general inquiries from the public.

3. Open all incoming mail, date stamp and distribute to correct office staff.

4. Receive all incoming couriers and arrange and prepare all outgoing couriers as needed.

5. Check all incoming faxes at photocopier, date stamp and distribute to correct office staff.

6. Maintain and set-up filing systems, Photocopy documents as required.

7. Maintain and manage site utility / communication administration (Bell, Rogers, Enbridge, Telus)

8. Maintain and order all types of supplies as required, such as:

- Office supplies
- Kitchen supplies (paper towels, coffee supplies etc.)
- Photocopier supplies (paper, toner, call for maintenance as required)
- Construction books / supplies
- Forman Report Book -Operators Report Book -Daily Construction Report Book
- Service Report Book -Extra Work Sheet Book -Toolbox Safety Talk Book
- Dump Tickets Book -Dump Tickets Receipts -Work Authorization Book

9. Assist accounting with matching invoices to packing slips and other documentation.

10. Assist accounting with business bank runs.

11. Assist Project Management with issuance of P.O’s and processing credit card payments while following company procedures & protocols.

12. Assist accounting with all filing of paperwork as required.

13. Assist in the development of equipment maintenance logs/reports.

14. Assist Health & Safety with collection of site paperwork/ scanning and filing.

15. Track contracts to final execution and ensure executed copies of all contracts and related documents are completed and forwarded to project team and accounting.

16. Track and monitor status of sub-contracts through the approval process and issuance to Sub-contractors

17. Review returned sub-contracts for changes and adherence to required documentation (WSIB Clearance Certificates, certificates of Liability Insurance, Corp H&S Policy and Form 1000) and advise Project Teams of any discrepancy

18. Maintain well organized filing system that permits easy reference and rapid retrieval of information.

19. Perform additional assignments and responsibilities as assumed or requested by supervision.

20. Must be proficient in Microsoft Word, Excel, have great interpersonal skills, be punctual and attentive.

**Salary**: $40,000.00-$50,000.00 per year

- Reception/Administrative: 2 years (preferred)
- Accounting: 2 years (preferred)
