NATURE OF THE WORK:
The principal and customary work of the employee in this employment class consists in performing a set of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to current activities of the employee’s area.
Under the supervision of the Manager of Student Services and in collaboration with the professionals in the Student AccessAbility Centre, the Administrative Support Agent provides direct services to students using the AccessAbility Centre exam spaces. In doing so, the Administrative Support Agent takes into consideration the needs of the students as well as the established policies of the service and/or the College.
RESPONSIBILITIES:
Plan and organize daily in-session tests and exams (excluding English Exit Exam, EUF, and Final Exams for which they will offer support). Tasks include:
- Plan, prepare and organize exams for the day and upcoming days by printing exams and control sheets, flagging important test instructions, uploading exams to student work stations, sorting exams by start times and location, assigning seats in clockwork and control sheet, faculty follow up for missing exams.
- Review teacher parameters and test instructions; fix and adjust discrepancies; highlight important information on control sheets for invigilators and communicate date and time changes to students.
- Follow up with faculty for clarification on instructions given, student questions, technical issues, student absences and other relevant information.
- Review student accommodations and adjust exam as required: enlarge, convert to e-text, private room with scribe.
- Collaborate with the SAAC team to ensure the necessary resources are in place (invigilators, scribes, additional rooms, etc.) and to troubleshoot issues related to the administration of exams; as well as to communicate difficulties with students (crisis, non-respect of rules, etc.)
- Greet students and provide them with all the required instructions, their start and end times, as well as the rules and regulations of the Exam Centre.
- Inform students of permitted materials and accommodations they can use; ensure that all documents and materials in student possession are required and authorized.
- Assist in the supervision of students while they complete their evaluations by monitoring the cameras and computers using Lanschool. Circulate inside the exam room when needed.
- Using Lanschool, restrict or permit software and internet access to students.
- Flag all suspected cheating incidents to the Manager as soon as discovered for follow up.
- Maintain and update Clockwork exam module with data entry of start and end times, seat location, teacher pick up, issues and notes, cancelled or changed exam dates, etc.
- Provide invigilation coverage as required;
- Provide SAAC reception support for the main office as required;
- Any other related task
**Requirements**:
- QUALIFICATIONS:
To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.
CONDITIONS:
- *Additional hours including Saturday mornings may be required during peak exam periods.
- Must be able to interact effectively with students who have a wide range of special needs;
- Demonstrated ability to work in a fast-paced environment with constant changing circumstances;
- Demonstrated ability to multi-task and prioritize tasks; Strong organization skills;
- Advanced oral and written English communication skills (testing may be required);
- Intermediate skills in oral French and reading, and basic skills in written French (testing may be required);
- Intermediate level Microsoft Word and Excel (testing may be required);
- Must be able to maintain department standards with respect to confidentiality of information
- Experience working with a database, an asset.
