**Overview**:
As a Warranty Administrator, you are responsible for submitting warranty pre-authorizations on a timely basis, according to manufacturer guidelines, on multiple manufacturer portals, using information and pictures collected by technicians while unit is in service.
Our warranty administrators are responsible for communicating with manufacturers, securing replacement parts and repairs for defective merchandise., handling the shipment of defective parts, following up on ordered parts (SOPs), arranges for the delivery of replacements warranty parts or receipt of credit, keeping an accounting of transactions, and administering all warranty requests in compliance with both company standards and legal requirements.
In certain industries that experience a high volume of warranty requests (such as in automotives and electronics), the warranty administrator may be tasked with supervising other warranty clerks, to ensure full compliance of claims process and accounts closure.
**Compensation**: $50-59K depending on experience
**Reports to**:Service Manager
**Key Responsibilities and Accountabilities**:
- Submit warranty pre-authorizations on a timely basis, according to manufacturer guidelines, on multiple manufacturer portals, using on information and pictures collected by technicians while unit is in service
- Track claim approval status and resolve any t between submissions and manufacturers
- Provide updates to service department staff on claim status
- Adjust and resubmit any denied claims
- Coordinate and interface with part manufacturers directly, if they hold warranty
- Provide oversight and assistance to service department staff, including information on warranty expiration dates, recall information and general warranty inquires
- Assist technicians with warranty repair inquiries
- Once pre-authorizations are approved, verify or create Special Order Parts (SOP) paperwork of required parts to order
- Submit SOP paperwork to the parts department
- Once work is completed, add parts to claims on manufacturer portals and submit claims for payment
- Return any defective warranty parts, as requested by manufacturer
- Investigate and resolve unpaid claims, provide any required feedback
- Track outstanding payments based on warranty aging schedule
- Reconciliation of warranty receivables
- File and maintain service records
- Additional duties as assigned
**Key Skills & Qualifications**:
- Previous work experience in purchasing, within a claims department, stock room inventory, or a similar role.
- Previous Warranty Admin experience is an asset.
- Excellent computer skills and familiarity with Microsoft Office.
- Knowledge of market research tools and industry standards
