Catering & Event Coordinator

Gather Catering & Events is a made from scratch boutique catering company that offers a high level of food and service to our clients. We cater to a variety of events both in clients’ homes and in event venues throughout the city. The events we cater include but are not limited to; corporate breakfasts, lunches, cocktail and dinner parties, weddings, birthday parties, baby showers, social gatherings, celebrations of life.

As Catering & Event Coordinator, you will be the organizational backbone of our events team. You’ll support the planning and execution of high-profile corporate and social events, ensuring seamless logistics, clear communication, and exceptional service delivery. This role is perfect for someone who is detail-oriented, thrives in a fast-paced environment, and loves bringing events to life through precision and care.

**Key Responsibilities**
- Assist with event proposals, client communications, and menu planning.
- Coordinate catering logistics including delivery schedules, set-ups, and tear-downs.
- Liaise with chefs, bartenders, and event staff to ensure smooth execution.
- Communicate with venues, rental companies, and suppliers for equipment and deliveries.
- Assist in scheduling and planning event aspects like decorations and entertainment to support client needs where required.
- Attend site visits, tastings, meetings.
- Prepare and track event files, contracts, invoices, and post-event reports.
- Manage inventory, supply orders, and catering equipment.
- Support staff scheduling and payroll coordination.
- Ensure compliance with health & safety, licensing (AGLC), and zero-waste practices.
- Provide on-site event support as needed (occasionally as a server/supervisor), assisting with client relations and staff supervision.

**Qualifications & Skills**

**Core Skills**
- Strong knowledge of catering, hospitality, or event coordination.
- Familiarity with menu planning and dietary restrictions.
- Experience with vendor coordination and rental management.
- Proficiency in Microsoft Office/Google Suite; event software experience an asset.

**Soft Skills**
- Exceptional organizational and time management abilities.
- Strong written and verbal communication skills.
- Detail-oriented with the ability to anticipate needs and solve problems quickly.
- Warm, professional client service approach with a team-first attitude.
- Flexible, adaptable, and comfortable under pressure.
- Ability to troubleshoot and problem solve in real time.

**Experience**
- Minimum 2 years in catering, hospitality, or events.
- Experience in client-facing roles strongly preferred.
- Supervisory or team leadership experience considered an asset.

Pay: $23.00-$27.00 per hour
