TEMPORARY FULL-TIME ELEMENTARY SECRETARY
at
Glen Orchard Public School in Port Carling (4 days/week) and Honey Harbour Public School (1 day/week)
This temporary full-time position is effective starting immediately to indefinite, not longer then March 7, 2025. Reporting to the Principal, this position is responsible for the secretarial and clerical duties of the school office at both locations, all of which relate to supporting educational and student programs.
**Duties of the Position include**:
Registration of new students and maintenance of student records in PowerSchool.
Act as receptionist for the school and visitors coming into the school, according to system and school guidelines.
Provide secretarial and clerical support to the Principal and Staff by typing, filing, preparation of mail, recording and duplicating scheduling and writing reports, letters and newsletters.
Maintain school budgets, reconcile with monthly cost statements from the Board; order A/V supplies, disseminate and return before due date.
Prepare purchase orders, receive, check goods and return approved invoices to accounting.
Maintain school accounting records. Collects funds from students and staff, i.e. fundraising, weekly luncheons: prepare banking deposits.
Prepare a monthly / annual report on each account.
Assist in the preparation of Ministry Statistical Report (ONSIS) and other reports as required.
Use computer technology to prepare lists, reports and data as may be required by the school.
Contact volunteers and schedule them to assist with school functions.
**Contact parents by telephone re**: student accidents, absenteeism and illness.
Coordinate school-wide functions and programs.
Attend to minor injuries of students, dispense medication and maintain log book on medical supplies.
Assist with compiling the consumable orders for the school, check goods received against purchase orders, unpack materials and distribute to classrooms. Maintain a budget record of the amounts spent. Balance budget records of official budget reports.
Other office duties as required.
**Qualifications Required**:
Secondary School Graduation Diploma plus additional training courses in computer operation and software programs;
Three years of previous secretarial experience plus one year on the job experience;
Excellent judgement / complexity skills to follow prescribed board procedures;
Good Accountability skills to ensure positive public and employee relations;
Demonstrated computer knowledge and practical experience on multi-screen database systems, Microsoft Office Word/ Excel & Google Suite.
A good working knowledge of the PowerSchool, School cash and Atrieve computer programs.
Excellent organization and prioritizing skills
Excellent customer services skills.
Self-motivated and ability to work with minimum supervision.
Personal qualities of maturity, tact and discretion, ensuring confidentiality of information;
Demonstrated ability to communicate and work effectively with staff members, parents, students and the general public both in person and on the phone absolutely essential.
Updated First Aid and CPR training would be an asset.
**Hours of Work**: 35 hours per week, Monday to Friday
**Hourly Wage**: $ 28.01 (minimum) - $31.90 (maximum)
**Point Band**: 10
