Executive Assistant/office Administrator

**Office Administration & Reception**
- Liaise and support the leadership team in day-to-day activities
- Work directly with the CEO to support all aspects of their daily work routine
- Keep the CEO advised of time-sensitive and priority issues, calendar management, and ensuring appropriate follow-up.
- Organize and schedule appointments for the CEO and executive team
- Assist with the booking and arranging of travel arrangements
- Assist with Tradeshow planning - including travel and show arrangements
- Trade show registration and support with all trade show-related preparation
- Assist with the planning and scheduling of team meetings as well as taking detailed minutes
- Assist in the preparation, writing, editing, and storage management of various documentation, materials, and reports
- Support with ongoing digital content management including social media and web content
- Develop and maintain electronic and document filing systems/storage
- Assist with the tracking and maintenance of corporate contracts
- Assist with updating and maintaining office policies and procedures
- Plan company events such as the annual golf tournament and other company functions (BBQs, staff birthdays, etc.)
- Act as the point of contact for internal and external customer support functions
- Maintain contact lists
- General Office maintenance - office supplies inventory, coffee, tea, and other necessities.
- Provide general support to office and company visitors
**Qualifications**:
- Must have a certificate, diploma, or degree in business administration/administrative assistant or equivalent skills and experience.
- Must have 3-5 years’ experience in an administrative position
- Ability to work with minimum supervision and act independently
- Must beproficient with MS Office programs such as Microsoft Word, Excel, and Outlook, Teams, and Zoom.
- Excellent written and verbal communication skills
- Strong interpersonal and decision-making skills
- Must be able to prioritize tasks, manage multiple assignments, and meet deadlines
- Highest level of confidentiality and integrity
- Ability to work under pressure and be adaptable to changing priorities
- Must have a valid driver's license and the ability to facilitate company-related errands
**Job Types**: Full-time, Permanent
Pay: $40,000.00-$52,000.00 per year
