Applications are invited for the position of Administrative Assistant, Wellness and Accessibility Services in the Health, Wellness and Accessibility Services department. The starting salary is $26.21 hour for a 35-hour workweek. Usual hours of work are 8:30 a.m. to 4:30 p.m. daily, however, some flexible scheduling of hours may be necessary to accommodate evening hours in Health, Wellness and Accessibility Services at the Welland Campus.
Reporting to the Associate Director, Health, Wellness and Accessibility Services, the Administrative Assistant is responsible for providing customer service, reception, and medical clerical support within a busy student service unit. This position is a front-line support role within the Student Services Division where interaction with students and collaboration with professional staff including, counsellors, administrative and support staff and the community is constant.
**Responsibilities include, but are not limited to**:
- Greeting students, clients and visitors in person and by telephone, providing introductory information on the services and procedures of the unit;
- Conducting preliminary screening of inquiries to determine appropriateness of need and available services;
- Provides clerical and administrative support to Wellness and Accessibility Services staff (Counsellors, Accessibility Consultants, Learning Strategists, Assistive Technologists)
- Developing and maintaining appropriate confidential scheduling and record keeping systems; processing and maintaining student/patient records; word processing, filing, duplicating and photocopying
- Generates and compiles departmental statistics and reports, including database and PeopleSoft reports
- Procuring and maintaining office resources at adequate levels;
- Supports the Associate Director as required
- Assists in planning and organizing special events and project work such as Orientation, Summer Transition Programs, Student Appreciation Day, Workshops and education events. Assists in collecting information for research purposes;
**Qualifications**:
- A minimum two (2)-year diploma in Office Administration or related program.
- Minimum of three years practical experience in a professional office, preferably in an educational or social services setting where confidential client records are kept and used on a regular basis
- Excellent interpersonal and communication skills and superior customer service skills.
- Demonstrated proficiency in word processing, excel, database management and data analysis is also expected.
