Office Administrative Assistant/receptionist

**The Opportunity**:
We are seeking a friendly, self-motivated individual for the role of **Office Administration Generalist -Receptionist.** The successful applicant must have strong attention to detail, communicate effectively, and have excellent organizational skills. They enjoy working in a busy environment where they can use their multitasking skills in a fun environment. In addition, this individual should have an analytical mind, and always be looking for ways to better improve systems and efficiencies. **Responsibilities**:
- Present a positive and professional image of the organization to all visitors, suppliers, inquires, drivers and other interactions
- Answer phones and provide excellent customer service to our clients, providing information about any inquires or requests
- Support payroll with data entry duties
- Ability to strategically plan and manage logistics of transportation in the absence and/or support of the dispatcher
- Liaise and negotiate with suppliers, manufacturers, retailers and customers
- Ensure accurate and timely input of data
- Ability to manage Accounts Receivable: create invoices, statements and deposits
- Oversee the processing of Accounts payable and purchase orders
- Proactively resolve any arising problems or complaints
- Meet cost, productivity, accuracy and timeliness targets
- Other office duties as required
**Experience/Qualifications**:
- Approximately 2 years experience in busy office setting
- Knowledge of Nanaimo and the surrounding areas
- Strong computer skills
- Proficient with Microsoft Office
- Ability to adapt quickly to new systems, _QuickBooks experience is preferred_
- Ability to meet deadlines and adapt to changing priorities
- Strong sense of urgency and self motivated
- Strong organizational and time management skills
- Positive attitude and effective communication skills
- Excellent customer service skills
- The analytical ability to find ways to better systems and processes
- Ability to work independently and handle multiple projects
- Construction knowledge
