The receptionist plays a key role as the first point of contact for visitors and clients. This position requires excellent communication and organizational skills to ensure positive interactions and efficient coordination of office activities. The receptionist's primary responsibilities are to greet and welcome visitors, answer and direct phone calls, and perform general administrative tasks.
WHAT YOU’LL DO
Greet and welcome visitors, ensuring a friendly and professional atmosphere.
Answer phone calls and transfer them to the appropriate person or department.
Manage the reception area, including keeping it tidy and presentable.
Maintain security by following procedures, monitoring visitor access, and issuing visitor badges.
Receive and sort mail and deliveries.
Coordinate and schedule conference rooms and meetings.
Assist with administrative tasks such as filing, photocopying, and faxing.
Maintain office supplies inventory and place orders when necessary.
Manage inventory of cabinet and facility keys
Assist with travel arrangements and expense reports for staff when required.
Perform other clerical duties as assigned.
WHAT WE’RE LOOKING FOR
High school diploma or equivalent; additional certification in office administration is a plus.
Proven experience as a receptionist or in a similar role.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Strong interpersonal skills and professional appearance.
Ability to multitask and prioritize tasks in a fast-paced environment.
Attention to detail and problem-solving skills.
Reliability, punctuality, and a positive attitude.
Knowledge of office equipment such as printers, scanners, and telephone systems.
Ability to handle sensitive and confidential information with integrity.
